 JOB DESCRIPTION

POSITION:   Part Time Administrative Assistant, Central Office

JOB GOAL:  The Superintendent’s Office is seeking an organized and detail-oriented individual to provide hourly office support, both in the Central Office and, as needed, to school-based administrative assistants. This role involves handling confidential processes, assisting with office operations, and supporting staff with a variety of clerical and organizational tasks. The position offers flexibility and variety, with responsibilities that may shift depending on office needs.

MINIMUM QUALIFICATIONS:

  1. Minimum three years of administrative or clerical experience, preferably in an educational setting.

KNOWLEDGE AND SKILLS: 

  1. General knowledge of standard office procedures that includes a variety of clerical and secretarial duties.
  2. Strong communication and interpersonal skills.
  3. Detail-oriented with strong accuracy in data entry and record keeping, particularly when handling confidential information.
  4. Proficiency with Microsoft Office/Google Workspace and willingness to learn District systems (e.g. PowerSchool).  
  5. Ability to work independently and as part of a team.
  6. Ability to prioritize tasks and work assignments is essential, particularly in this fast-paced environment with frequent interruptions.
  7. Ability to handle confidential information with discretion and professionalism.

 PERFORMANCE RESPONSIBILITIES TO INCLUDE BUT NOT LIMITED TO:

    • Confidential Background Checks: Process CORI/SORI requests for the District in accordance with established procedures (training provided). Ensure timely completion, accurate documentation, and necessary follow-up.
    • Mail Management: Sort, distribute, and manage all incoming and outgoing District mail, including large seasonal mailings (e.g., elementary school packets in August, MCAS materials in October).
    • Front Desk Coverage: On scheduled days in the office, provide coverage for the front desk security cameras during staff breaks, vacations.
    • HR Data Entry: Assist with human resources tasks, including entering new hires, updating position assignments, and cross-checking records across systems (PS and HR spreadsheets) for accuracy.
    • Phone Directory Maintenance: Update and manage the District phone list, ensuring accuracy of contacts and extensions; streamline or recreate the system as necessary.
    • General Office Support: Provide clerical, administrative and special event support to the Central Office as assigned.
    • Office Supplies Management: Maintain office supply inventory and place orders as needed using the Superintendent’s Office account (e.g., coffee, cups, utensils, etc.).

 

  • School-Based Support: Support school-based administrative staff as needed with discreet and time-bound tasks, as assigned and based on needs of the schools.

 

WORK SCHEDULE AND COMPENSATION: Hourly, part-time position, at least 15 hours per week and up to 35 hours per week, 52 weeks per year.
