Position Overview:
The Proposal Coordinator is responsible for supporting the development of compelling, compliant, and visually consistent proposals and qualifications packages in response to Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and Statements of Qualifications (SOQs). This position works collaboratively across marketing, business development, preconstruction, and operations teams to deliver high-quality pursuit materials that position McFarland Construction competitively in the marketplace. This position will report to the Director of Marketing.
Key Responsibilities:
- Coordinate and assemble RFP/RFQ/SOQ responses
Manage the proposal development process from kick-off through submission, ensuring all proposal elements are collected, formatted, and delivered in accordance with client requirements and deadlines. This includes facilitating internal coordination meetings and maintaining task schedules. - Draft and edit resumes, project sheets, and boilerplate content
Tailor standard content to highlight team qualifications, project relevance, and firm capabilities. Maintain a strong focus on clarity, consistency, and tone to ensure alignment with McFarland�s brand and the client�s expectations. - Manage CRM system and proposal content library
Input and update pursuit-related data in the firm�s CRM including opportunity tracking, contacts, and project profiles. Organize and maintain a centralized library of resumes, project descriptions, and standard response language. - Ensure proposal compliance and formatting
Carefully review RFP documents and compliance matrices to ensure submissions meet all requirements. Apply consistent formatting, branding, and visual standards across documents using company templates. - Collaborate with technical teams and leadership
Work closely with preconstruction, operations, and leadership to extract technical information and develop tailored narratives that accurately represent project experience, approach, and value. - Support post-submission activities
Assist with the final production of hard copy or digital submissions, including printing, binding, packaging, and file management. Archive completed proposals and track outcomes for future reference. - Assist with award submittals and qualifications packages
Help prepare documentation for award entries, capability statements, and general firm qualifications as needed to support business development initiatives. - Develop interview presentations and visual collateral
Support the creation of interview presentations in collaboration with preconstruction, operations, business development, and leadership. Assist in designing visual aids, slide decks, and leave-behind materials that reflect McFarland�s messaging and project understanding. - Research industry trends and pursuit opportunities
Conduct market research to identify upcoming pursuit opportunities, client needs, and industry best practices. Help inform proposal strategies by tracking competitor activity, regional construction trends, and client-specific insights.
Qualifications:
- Bachelor�s degree in Marketing, Communications, English, or a related field
- 1�3 years of experience in a proposal coordination, marketing, or communications role (AEC industry experience preferred)
- Excellent writing, editing, and proofreading skills
- Familiarity with proposal processes and formatting for public and private sector RFPs
- Strong time management and organizational skills with the ability to handle multiple priorities
- Experience using Microsoft Office Suite
- Proficiency in Adobe InDesign
- Familiarity with CRM platforms is preferred
- Collaborative and proactive approach with strong communication skills
