About the Role

The Medical Affairs Operations Specialist will partner with the Medical Organization Departments to provide comprehensive organizational, project management and operational expertise that ensures compliant and efficient execution of Medical Affairs initiatives.  The Specialist will oversee and guide contracts/POs/invoices, support budget tracking, manage vendor relationships and financial tracking, and collaborate cross-functionally to implement and optimize medical projects. This role is responsible for developing best practices and recommending process improvements and ensuring operational alignment with organizational goals. 

Let’s talk about some of the key responsibilities of the role:

  • Oversee and manage contracts, invoicing, and purchase orders (POs), including but not limited to HCP consulting agreements, advisory boards, third-party vendors, medical grants, medical sponsorships, and medical writing.
  • Provide oversight and guidance in the planning, monitoring, and management of the Medical Organization's budget.
  • Direct and coordinate engagement with third-party vendors to establish HCP tiering, screening, and fair market value assessments across the entire Tarsus organization.
  • Support medical initiatives through the completion and submission of Business Needs Assessments, Compliance Request Forms, and Advisor Request Forms, ensuring compliance.
  • Manage and oversee the physical inventory of Medical Affairs tools and resources, including materials and handouts, making recommendations on allocation and utilization to support enterprise-wide objectives.
  • Lead collaboration efforts with the Medical Affairs team to design, develop, and execute medical projects from initiation to close, including defining project scope, preparing budgets, directing logistics and operational management.
  • Partner with leaders in Medical Affairs and Pharmacovigilance and Safety teams to design and develop PowerPoint presentations that support enterprise-wide strategic initiatives.
  • Synthesize and disseminate weekly, monthly and quarterly reports and gather information from field MSLs for quarterly initiatives.

Factors for Success:

  • Bachelor’s degree in Business, healthcare administration, or other related discipline or equivalent knowledge and experience required.
  • 5+ years of related operational experience.
  • Excellent project management and time management skills with an ability to efficiently manage multiple programs, projects, and tasks.
  • Highly organized with a systematic approach to accomplishing project deliverables and measuring success tied to business results.
  • Proficiency in Microsoft Office Suite required, especially PowerPoint, Excel, Word, and other features.
  • Demonstrates exceptional attention to detail, ensuring accuracy, consistency, and thoroughness.
  • Demonstrates exceptional professionalism in all interactions with HCP consultants and advisors.
  • Proven experience communicating effectively with senior executives and/or healthcare professionals.

The expected base pay range for this position is $93,700 - $131,300 plus bonus, stock equity, and comprehensive benefits. The base pay range reflects the target range for this position, but individual pay will be determined by additional factors such as job-related skills, experience and relevant education or training.
