Position | Institutional Accreditation Office Manager | Division: | Institutional Effectiveness Special and Sponsored Programs | Department: | Institutional Effectiveness / Accreditation | Reports to: | Vice President for Institutional Effectiveness Special and Sponsored Programs | Position Summary | The IAOM supports Unit operations, compliance, and student achievement records; degree data collection and dissemination, retention and disposal; compliance data collection, and reporting; leadership and team collaboration. The IAOM maintains digital copies of academic catalogs, official documents and handbooks; creates binders and storage bins; manage the website; sets appointments for meetings and manage minutes; serves with integrity of effort and maintains confidentiality of records. Must have commitment to student success and inclusive practices. Excellent communication skills required. | Essential Duties & Responsibilities The results you will deliver each day that matter most! | Academic /Operations Records Management - Maintains the security, confidentiality, and integrity of records in compliance with institutional policies and external regulations.
- Managing compliance record systems and related technologies.
- Ensures compliance with HIPA, FERPA, & Title IX regulatory standards regarding the confidentiality and security of student files.
Records Collection and Disseminating Services: - Collaborates to collect data, develop documents and disseminate College policies and procedures manuals.
- Assists in resolving record-related issues, including errors and edits to official documents, records and files.
- Scrubs digital copies of catalog, official documents and handbooks; ensures inserts and omissions are addressed in a timely manner.
Degree Data Dissemination, Retention, and Disposal - Collect degree, graduate school and career placement information for required reports, documents, and requests
- Assist with the retention and legal disposal of archived records.
Compliance, Data Collection & Reporting: Support compliance with federal, state, and accrediting bodies. Generate and analyze data reports for institutional research, accreditation, and decision-making purposes. Act to assist external agencies with reporting / compliance issues. Assist in retaining up-to-date information on the web page. Create, upload, and submit files to third parties as indicated. Leadership & Team Collaboration: - Assist in developing awareness of policies and procedures related to data collection, analysis, recording, and dissemination.
- Create binders, information packets, etc., for distributions.
Policy Development and Implementation - Assist in the development and implementation of unit policies, procedures, and operational guidelines.
- Provide recommendations for a culture of office efficiency, service excellence and equity.

| Education/ Experience What you will need to be successful! | Education/ Preferred Qualifications / Skills & Competencies: Minimum BA degree in business or educational administration, or related field, from an accredited institution. Experience: Professional experience managing an executive administrative academic office or leading an academic-related accountability project. Demonstrated ability to manage multiple priorities and work collaboratively across departments. Knowledge: Knowledge of accreditation reporting and hands-on experience assembling and submitting state, federal, and accrediting reports. Skills & Competencies: Familiarity with data analytics software and reporting tools. Proficiency with Blackboard, Jenzabar, Microsoft Office Suite and Zoom computer information systems. Excellent communication skills via telephone, email/writing. Excellent organizational and interpersonal skills. High level of attention to detail and accuracy. Strong problem-solving and critical-thinking skills. Ability to work effectively under pressure and meet deadlines. Must be willing to learn new technologies and use of AI.
