This opportunity is with our Good Shepherd - SENIORS SUPPORT SERVICES
Reporting to the Directors in the Seniors' Health, Hospice and Palliative Care portfolio, the Program Assistant enhances the dignity and quality of life of our clients, visitors, volunteers and staff by providing efficient, courteous and quality services that support the leadership team and staff in the day to day operation of the portfolio.
Responsibility, Availability, Hospitality, Adaptability, Quality and Dignity is aided through the provision of clerical and diverse support services to the leadership team and staff, including but not limited to, the timely and accurate coordination of records and information, scheduling, report preparation and other duties related to the operation of the portfolio.
How You Will Make an Impact
- To demonstrate a strong work ethic and leadership by role modelling behaviors aligned with the Mission, Vision, and Values of Good Shepherd Centres, while ensuring compliance with all organizational and portfolio-specific policies and procedures.
- To act as an important communication centre for directors, managers, staff and service users for the efficient and effective communication of information necessary to operate an effective program and meet the needs of service users.
- To assist with staff scheduling.
- To assist in the collection of data and prepare accurate statistical reports as required.
- The Program Assistant will purchase program supplies, visit other Good Shepherd sites and may attend other community locations.
- To provide clerical/administrative supports to the Directors and other members of the leadership team and handle correspondence, information and documentation of a sensitive nature with strict regard for the confidential and private nature of work emanating from the Directors' office.
- Prepare a variety of documents such as letters, reports, memoranda, presentations, agendas, minutes and forms, using a variety of software packages, and proof reading for accuracy, grammar and content.
- Provide respectful, culturally competent, and client-centered service that reflects the Mission, Vision, and Values of Good Shepherd Centres, using an anti-racism/anti-oppression and trauma-informed approach. Communicate professionally with all individuals-including clients, donors, volunteers, and the public-while preserving dignity and demonstrating a welcoming, non-judgmental attitude.
- Supports program operations through reception duties, managing calls and messages, maintaining filing systems, scheduling appointments, tracking action items, and recording meeting minutes. Handles petty cash, monitors inventory and provides hands-on assistance to ensure smooth daily functioning.
- Acts as a flexible, reliable team member who maintains confidentiality, responds effectively in crisis situations, and manages time well in a fast-paced environment. Demonstrates initiative, works independently, and performs other duties as assigned by leadership.
- Observe all health and safety rules and work in compliance with the provisions of the occupational Health and Safety Act and its regulations
What You'll Bring to Our Team
- Post-secondary education, Diploma in Office Administration or a related field (preferred) or combination of education and experience.
- A minimum of two years of clerical, secretarial and administrative support experience.
- Excellent verbal and written interpersonal/communication skills, with a keen eye for detail and with the ability to build relationships and collaborate with diverse stakeholders. Fluency in a second language is an asset.
- Outgoing and adaptable to working in a fast paced and changing environment with the ability to prioritize conflicting demands.
- Demonstrated ability to work from anti-racist/anti-oppressive, harm reduction and trauma-informed frameworks.
- Available and responsive to the needs of others.
- Respectful and compassionate demeanour.
- Valid G driver's license.
- Creativity and flexibility in achieving desired outcomes.
- WHIMIS training and Non-Violent Crisis Intervention
- May require to work outside of regular office hours
- Proficient in the use of a variety of programs including Microsoft Outlook, Microsoft Word, Microsoft Excel and other related programs
