The Clinical Support Assistant (CSA) position at Family Medicine at South Waterfront performs a variety of administrative or technical assignments of duties involving many different and unrelated processes, methods and administrative related tasks as instructed by clinic leadership. Occasional direct patient interactions. Works closely with and reports to clinic leadership and provides assistance with clinic and office tasks. Supports the activities of the clinic and works effectively with all clinic staff. Requires working in a confidential atmosphere, handling many complex projects at one time. Knowledge of and familiarity with OHSU facilities, resources, and personnel.
This position requires someone who can solve problems and stay highly organized. High level written and verbal communication skills and the ability to stay calm under high pressure conditions and timelines.
Function/Duties of Position:Key Responsibilities & Performance Standards
Administrative Support
- Process incoming/outgoing faxes (labeling, records requests, upload refill requests, etc.)
- Scanning/Faxing
- DME paperwork management
- Track and stock patient paperwork and brochures, including OB Packets
- Incoming/Outgoing Mail
- Use of Microsoft Office—Outlook
- Letters – Track & Generate No Show and New Patient Letters
- General high-level clerical and project support
- Document legibly, concisely and accurately
Clinical Support
- Assisting Back Office with exam room turnover
- Rooming patients
- Stock exam rooms and monitor for expired supplies
- In Basket support
- Maintains knowledge of life safety, patient safety, fire and electrical safety and disaster plan
- Sentact duties/compliance
- Assist with maintaining vaccine/supply inventory
- High school diploma or equivalent, AND
One year of experience with high volume contact with the public; - OR 6 months of medical office experience, with high volume contact with patients
Fluency in written and spoken English. - Must be able to communicate effectively verbally and in writing. Excellent telephone communication skills.
- BLS/CPR within six weeks of hire and then maintained without interruption.

- Extensive computer skills including MS Office and Windows required.
- Excellent customer service skills, and ability to multi-task in a fast-paced environment required.

- Variable (Clinic hours are Monday - Friday, 7:00am - 8:00pm and Saturday, 9:00am - 1:00pm)
- This position works in a busy environment with a lot of interruptions, multiple demands and people interactions. It requires dealing with noise and frequent interruptions within the work group.
- This position requires sitting for at least two hours at a time. Frequent intervals of walking significant cumulative distances (i.e. transporting specimens/supplies to other buildings, etc.) standing for long periods of time, and bending. Heavy use of computer and phones. Ability to occasionally lift and carry at least 25 lbs. Ability to speak clearly, demonstrate patience and understanding of customer needs. Must be able to deal with competing needs and priorities of internal customers. Significant use of personal computers, copiers, multi-line phones and fax machines.
