Reports To: Assistant Principal, Student Support
Job Classification: Full-Time, Non-Exempt
Schedule: School-year based, beginning August 1 and including five days after the last day of school. The schedule may be adjusted to accommodate school start and end dates as needed.
The Attendance Coordinator is often the first point of contact for students, families, and guests entering campus. This role requires excellent interpersonal, communication, and organizational skills, along with sensitivity, discretion, and a positive attitude. The Attendance Coordinator supports student attendance tracking, reporting, and record-keeping, and works closely with the Assistant Principal of Student Support, faculty, staff, and parents to ensure accurate attendance data and adherence to school policies. Proficiency with Google Suite, Microsoft Office, SIS, and LMS systems is required.
Essential Responsibilities
? Maintain accurate daily attendance records, including period-by-period or positive attendance, and enter data into PowerSchool SIS.
? Verify and document student absences through communication with parents/guardians and teachers.
? Issue re-admit slips, tardy slips, off-campus passes, and related documentation.
? Generate daily, weekly, monthly, and quarterly attendance reports.
? Monitor and follow up with students with attendance issues, initiating contact with parents/guardians as necessary.
? Assist administration in identifying students with frequent absenteeism or tardiness and support interventions.
? Reconcile discrepancies in attendance records and verify locations of students as needed.
? Collaborate with the Assistant Principal to generate correspondence regarding excessive absences or tardies.
? Provide front office support, including greeting visitors, answering phone calls, and delivering messages.
? Assist with student registration and enrollment activities, inputting data and following up on missing or incomplete forms.
? Collect and maintain all school forms in the SIS system throughout the school year, ensuring accuracy and accessibility for staff and administrators.
? Support health-related recordkeeping and manage student medications in accordance with established procedures and communications.
? Prepare emergency/drill attendance lists and serve as the point of contact for attendance during emergencies.
? Assist other school personnel as needed to support administrative and operational functions.
Typical Duties
? Monitor student attendance trends and address attendance-related concerns.
? Maintain and process attendance documentation, including correspondence with parents/guardians.
? Provide positive reinforcement for students improving attendance.
? Attend staff meetings and remain informed of campus events and updates.
? Cover the front desk during breaks and lunch periods.
? Perform other duties as assigned.
Qualifications & Skills required:
? Ability to maintain strict confidentiality due to handling sensitive student information.
? Bilingual fluency in English and Spanish is preferred.
? Proficiency with Mac/PC systems and software including Word, Excel, Google Suite, and other office management tools.
? Strong organizational skills, attention to detail, and ability to multi-task and prioritize assignments under short timelines.
? Professionalism, patience, and strong interpersonal skills to work collaboratively with staff, students, and parents.
? Ability to follow oral and written instructions and complete routine tasks with minimal supervision.
Requirements
Applicants must submit a cover letter, resume, and two professional references from current or former supervisors. Candidates must also provide official transcripts, a current negative TB test result or TB Risk Assessment Questionnaire, complete required training, and successfully complete Livescan fingerprinting. Employment is contingent upon obtaining fingerprint clearance from the California Department of Justice (DOJ) and the Federal Bureau of Investigation (FBI).
