Key Responsibilities
As the Call Center Admin Assistant, you will play a vital role in ensuring smooth daily operations, delivering excellent customer service, and supporting both customers and internal staff through a variety of communication and administrative tasks. Other responsibilities include:
- Review and manage appointments set by Appointment Specialists
- Contact customers to confirm and verify upcoming appointments
- Communicate with customers via different mediums (app, phone, email, etc) to provide assistance and updates
- Monitor the call center’s email inbox and respond promptly to customer requests and inquiries
- Assist with handling incoming calls redirected from the external answering service
- Provide general administrative support to the call center team as needed
- Maintain accurate records of customer interactions, appointment changes, and service notes
- Collaborate with team members to ensure smooth daily operations and customer satisfaction
Requirements
Qualifications
- High school diploma or equivalent; associate’s or bachelor’s degree is a plus
- Previous experience in a call center or administrative support role preferred
- Strong verbal and written communication skills
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, Google Workspace) and comfortable learning new systems
- Excellent organizational and time management abilities
- Ability to handle multiple tasks and prioritize effectively in a fast-paced environment
- Customer service-oriented with a professional and courteous demeanor
