Donor Database and Analytics Manager

Reports to: Development Manager

Hours: 40 hours per week; includes occasional evenings and weekends

Location: Administrative Office


Position Summary: The Donor Database and Analytics Manager is responsible for managing all aspects of gift processing, acknowledgements, and administration of the Salesforce database, along with providing analytical reports. This position also works closely with the Finance team to ensure reconciliation and tracking on budget while maintaining contact with donors in need of assistance related to giving.  


Responsibilities (include but are not limited to):


Database Management 

  • Serve as the main point of contact for Salesforce, integrated platforms  and complete Salesforce updates when required.

  • Actively seek out creative ways for the development team to utilize the Salesforce platform in the most efficient, productive manner.

  • Build tools and workflows to support moves management and donor engagement plans.

  • Provide training and SOPs for Development staff on Salesforce and fundraising data best-practices


Donor Reporting & Analytics

  • Oversee the entry of all donors, donations and prospect records into Salesforce, ensuring integrity & accuracy in data.

  • Request and research donor & gift information when data appears duplicated, in error, or incomplete. Verify and update information regularly

  • Provide prospect research & analysis to inform strategies for campaigns, events, and major gifts.

  • Provide segmented lists and special analysis as needed to support development campaigns and events.

  • Develop reports and dashboards to track fundraising progress, donor engagement, LYBUNT/SYBUNT, and pipeline health for development staff and senior leadership.


Financial Liaison

  • Enter or update opportunities when and pledges gifts are received (checks, in-kind, online giving platforms, DAFs, etc.).

  • Regularly monitor outside giving platforms (United Way, Benevity, CyberGrants, Fidelity, Classy/GoFundMe, etc.) and accurately transfer gift information from platform to Salesforce in a timely manner.

  • Collaborate regularly with the finance team to align Salesforce donor records with Finance’s reconciled bank deposits.  

  • Provide development and finance team with regular updates on how pipeline & receivables are tracking



Acknowledgements & Donor Services

  • Run acknowledgement reports regularly, checking for accuracy, and print and mail letters to donors in an accurate and timely manner.

  • Manage mail merge processes and track acknowledgement status in Salesforce.

  • Support stewardship activities by helping the development team personalize acknowledgement letters & donor-facing messages.

  • Adhere to ECFA guidelines and government regulations for reporting and receipt of donations

  • Communicate with and assist volunteers & donors with various needs related to their giving (giving history, acknowledgements, volunteer documentation, payment methods) 


Other Development-Related Activities

  • Work closely with the Development Team on strategies for donor cultivation based on analysis of activity and trends within donor data

  • Assist with various donor recognition activities

  • Support corporate giving initiatives including employee giving and matching gifts

  • Provide on-site support for various Development events

  • Assist with other Development duties as assigned

Professional Qualifications:

  • Salesforce Administrator Certification strongly preferred OR minimum 2 years of experience managing a Salesforce database (preferably Salesforce NPSP).

  • 3–5 years of professional experience in donor database management, development operations, data reporting & analysis, or related fields.

  • Demonstrated experience implementing systems regarding gift processing and acknowledgment and monitoring these systems for accuracy and timeliness

  • Demonstrated success creating complex queries and reports, analyzing data and making recommendations based on findings

  • Familiar with payment processing & grant-making systems such as Harness, Classy, Benevity, Your Cause, etc.

  • Strong reporting & data analysis skills

  • High attention to detail with commitment to accuracy

  • Documentation of references (at least two professional and one personal) that attest to the person’s capability of performing the duties of the position and to the person’s suitability of working with or around children and vulnerable populations 

  • Bachelor’s degree in nonprofit management, business, data analytics, or related field (or equivalent experience)


Position Requirements:

  • Moderate local travel; must have access to reliable transportation during work hours

  • Ability to lift objects up to 25 pounds and work for long periods at a computer

  • Satisfactory criminal history background check

  • Clean Motor Vehicle Record
