Position:

We are looking for a strategic Bid Coordinator who will be responsible for managing the proposal development process, ensuring timely and high-quality bid submissions. This role involves coordinating with internal teams, gathering necessary documentation, and ensuring compliance with requirements. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple deadlines simultaneously. This individual will work in our sales department reporting to our New Business Sales Manager.

Key Responsibilities

  • Develop and implement bidding strategies that align with company objectives
  • Assess bid opportunities and determine the feasibility of successful submission
  • Utilize web-based bid invitation/management systems and platforms to conduct bid searches and identify opportunities
  • Oversee the creation of compelling, well-structured bid responses
  • Create and maintain bid data base for items frequently listed on bids. List by item with brand, model number, CHAMPRO equivalent, recent winning bid prices and company name
  • Ensure all documentation is accurate, complete, and delivered on time
  • Collaborate with sales, finance, legal, technical, and marketing teams to gather necessary bid content
  • Manage bid-related communications with internal and external stakeholders
  • Work with TSMs on bids in their territory:
    • Manage post bid award communications with bid issuing organizations
    • Assist in setting up CHAMPRO product in on-line market place
  • Work with Bid administrator to process bids in a timely fashion:
    • Utilize Bid Data Base to match all possible CHAMPRO product and enter prices
  • Provide insights on market trends and competitor activities

Required Skills & Qualifications:

  • Bachelor’s degree in business, marketing, engineering, or a related field.
  • 2+ years of experience in bid coordination, proposal writing, or a related role
  • Strong project management and organizational skills.
  • Excellent written and verbal communication abilities.
  • Ability to work under tight deadlines and manage multiple bids simultaneously.
  • Knowledge of contract management and procurement processes.
  • Proficiency in Microsoft Office Suite, CRM systems, and bid management software
