What You Will Be Doing

Guest Relations

Our Office Assistant is the first impression of our brand. This role ensures every visitor is welcomed with grace, attentiveness, and seamless hospitality by:

  • Monitoring guest communications and anticipating upcoming visits or events
  • Warmly greeting all guests with a polished, professional introduction
  • Ensuring all visitors are properly documented and visibly identified for staff awareness
  • Notifying internal teams of arrivals and assisting with meeting space preparation
  • Maintaining an immaculate, inviting reception area that reflects our standards
  • Providing clear directions to amenities and escorting guests upon departure
  • Collaborating with internal teams to deliver a refined and effortless guest experience



Workplace Experience

As a key contributor to our workplace experience, this role supports Phillip Jeffries’ commitment to being the best in the business by ensuring our environment is impeccably maintained, thoughtfully stocked, and seamlessly run. Responsibilities include:

  • Partnering with the Senior Executive Coordinator and cleaning teams to uphold pristine shared spaces
  • Managing inventory and procurement of kitchen, bathroom, and office supplies
  • Performing daily upkeep of kitchen appliances, including the coffee machine
  • Maintaining vendor relationships for supplies and rental equipment
  • Monitoring building conditions and reporting issues promptly
  • Serving as the on-site liaison for external vendors and inspections
  • Sorting and distributing mail and deliveries with care
  • Coordinating pickup logistics for New Jersey designers
  • Ensuring conference rooms and shared workspaces remain tidy and welcoming
  • Assisting NJ Showroom Staff with hospitality and supply needs

 

Executive Support Responsibilities

This role is a trusted extension of our leadership team, providing high-level support that reflects the precision, discretion, and excellence of the Phillip Jeffries brand.

  • Acting as backup support to the Senior Executive Coordinator
  • Collaborating on event planning and executive initiatives
  • Serving as a reliable and proactive partner to designated executives
  • Managing complex calendars, coordinating meetings, and resolving scheduling conflicts
  • Screening and responding to calls, Teams messages, and emails with discernment
  • Preparing meeting materials, agendas, and presentations with polish and accuracy
  • Coordinating seamless travel arrangements, including flights, accommodations, and logistics
  • Tracking and reporting expenses with precision and timeliness
  • Anticipating executive needs and delivering thoughtful, proactive solutions
  • Building and maintaining strong relationships with internal and external stakeholders
  • Supporting additional tasks and responsibilities as assigned

 

What you Bring to the Table

We’re seeking a poised and highly capable professional who brings both expertise and elegance to the role. Ideal candidates will demonstrate:

  • A minimum of 5 years’ experience providing executive-level support with discretion and reliability
  • At least 5 years’ experience overseeing office operations in a dynamic, fast-paced environment
  • Exceptional organizational and time management skills, with a proactive approach to follow-through
  • Outstanding written and verbal communication abilities, including attentive listening and thoughtful correspondence
  • Proven success in building and managing relationships across all levels of an organization
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), with confidence navigating digital tools
  • A commitment to handling sensitive information with the utmost confidentiality and professionalism
