About the Department

GENERAL RESPONSIBILITIES

The Dual Enrollment Coordinator manages the student related functions and activities in the dual enrollment and dual credit programs primarily associated with high schools in Illinois College District 503.  This role assists in planning and implementing dual enrollment procedures to streamline processes; interacts collaboratively with school site administrators and personnel, instructors and faculty, and other partners.   This position serves as an initial resource for students’ transfer and program planning and collaborates with the recruiting department on district-wide recruitment and admissions initiatives at Black Hawk College. 

Position Duties

DESCRIPTION OF ESSENTIAL DUTIES:  

  1. Responsible for working with high school counselors on the accurate registration of high school students into dual enrollment and dual credit coursework offered through Black Hawk College.
  2. Works collaboratively with Enrollment Services and Bursar departments to ensure dual enrolled high school students are registered for coursework in a timely manner prior to the College’s enrollment census dates.
  3. Creates and delivers presentations at area high schools for the purposes of informing students and families about dual credit and dual enrollment at BHC, and to register students for coursework.
  4. Maintains effective communication channels with area high school administrators and counselors to promote and enhance dual credit and dual enrollment opportunities at high schools.
  5. Works closely with College and high school academic departments and administrators in the development of dual credit and dual enrollment course options and schedule planning.
  6. Provides up-to-date information about programs of study, recommends appropriate courses, and provides instruction in the use of advisement materials related to student scheduling and registration.
  7. Initiates meetings with the College and area high school personnel to inform, promote and grow BHC programs.
  8. Coordinates regular (annually at a minimum) meetings for District 503 high school counselors to gather and share information and updates regarding dual enrollment and dual credit.
  9. Works collaboratively with appropriate BHC personnel to solve problems or concerns raised in area high schools or by dual credit and dual enrollment students.
  10. Assists in maintaining the accuracy of dual enrollment and dual credit information presented on the BHC website and in publications and materials. 
  11. Helps to ensure that the BHC Dual Credit Program is adhering to the appropriate state guidelines and interprets these guidelines to relevant stakeholders as necessary.
  12. Creates, implements, and measures departmental unit plan and goals to be in alignment with the College’s strategic plan.
  13. Provides short-term retention interventions (e.g. letters of support, welcome calls, tutoring referrals) as needed.
  14. Responsible for accurately managing the Dual Credit/Enrollment Budget.
  15. Adheres to the Family Educational Rights and Privacy Act (FERPA) regulation, state guidelines, and College policies with respect to privacy of student records.
  16. Assists with general College recruitment events across the District, as needed.
  17. Maintains satisfactory Motor Vehicle Record.


DESCRIPTION OF OTHER DUTIES

  1. Attends Dual Credit/Enrollment conferences and/or seminars, as appropriate.
  2. Ensures technology needs are adequately communicated for delivery of online dual credit and dual enrollment courses with support of BHC Information Technology Services department.
  3. Serves on College committees as directed. 
  4. Performs other job-related duties as required.

PRINCIPAL WORKING RELATIONSHIPS:  

  1. Works directly with the Dean of Enrollment Management. 
  2. Works cooperatively with the Dean of Student Services, College recruiters, Student Services departments, and Testing Center staff at both campuses.
  3. Works cooperatively with Academic Deans and Planning and Institutional Effectiveness department.
  4. Works cooperatively with the Registrar and Bursar to ensure accurate enrollment and billing of dual students.
  5. Works with instructional departments.
  6. Works with high school counselors, students, and parents.


Minimum Qualifications

EDUCATION AND EXPERIENCE:  (To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.)

  1. Bachelor’s degree required. Master’s degree preferred.
  2. Minimum of three years’ experience working in positions requiring student interaction at institutions of higher education required.
  3. Basic level ability with Microsoft Office required, specifically including Outlook, Word, and Excel.
  4. Must be willing to maintain satisfactory motor vehicle record and travel during peak times.  
  5. Demonstrated interpersonal, organizational, verbal, and written communication skills required.
  6. Academic student advising or dual credit/enrollment program experience strongly preferred.
  7. Experience with student information system databases preferred.
