Description
We are looking for a highly organised, proactive, and professional Executive Assistant to provide high-level secretarial and administrative support to our CEO and CFO, with additional support to our Legal and Company Secretarial team. This is a varied role, ideal for someone with strong EA experience who thrives in a dynamic business environment and enjoys building strong working relationships at all levels. We’re looking for someone who combines strong experience and capability with a positive, proactive, and approachable attitude. You’ll enjoy supporting others, anticipating needs, and playing a key role in fostering a high-performing and collaborative environment. This role will be 1-2 days a week in office, and we’re open to flexible working arrangements for the right candidate.
Key Responsibilities
- Providing seamless diary management and coordination of internal and external meetings for the CEO and CFO
- Support for legal platforms and administration
- Being a central point of contact and managing communication across the business both internally and externally
- Arranging complex travel (primarily between UK and New Jersey offices, with other jurisdictions as required)
- Managing and processing expenses and invoices, ensuring accuracy and timely submission
- Providing ad hoc support to the wider business including meeting logistics, document production and other administrative tasks as required
- Organising and taking minutes at the Strategy and Innovation Committee, ensuring accurate documentation and follow-up
- Arranging and coordinating various committees, forums, 1:1s and team meetings
Critical Competencies and Experience
- Strong administrative skills and the ability to manage a high volume of work systematically and with minimal supervision
- Excellent organisation and time management with the ability to prioritise, multitask, and meet deadlines
- High attention to detail and accuracy, with the ability to proofread documents and test for logic and clarity
- Experience of minute-taking
- Confident communicator with strong interpersonal skills, capable of liaising professionally and tactfully with individuals at all levels
- Demonstrated ability to handle confidential information with discretion and sound judgement
- A collaborative team player with a flexible and adaptable approach to shifting priorities and business needs
- Proficient in Microsoft Outlook, Word, Excel, and PowerPoint. Experience of Certify and Board Intelligence a plus.
- Experience supporting a plc Board or executive leadership team is desirable, but not essential
