JOB SUMMARY:

The Sales Operations Coordinator plays a critical role in supporting the sales team and operations by ensuring the smooth execution of processes, providing essential resources, and assisting with Salesforce administration and reporting. The role includes preparing materials, tracking sales metrics, coordinating client project workflows, and supporting the Sales Operations Manager in implementing sales strategies. The Sales Operations Coordinator serves as a bridge between sales, marketing, and internal departments such as design, estimating, and operations to ensure client deadlines are met and projects are delivered successfully.

The Sales Operations Coordinator reports directly to the Sales Operations Manager and collaborates closely with the Client Partnerships and Marketing teams.

KEY RESPONSIBILITIES:

  • Coordinate the sales team by managing schedules, filing important documents, and ensuring timely communication of relevant information.
  • Create and distribute presentations and supporting documents to help the sales team generate business leads and enhance client engagement.
  • Ensure the adequacy and availability of sales-related equipment, materials, and resources.
  • Input and update sales inquiries in Salesforce, maintaining accurate and up-to-date program files. 
  • Prepare sales analyses (daily, weekly, monthly) as instructed to assist in tracking progress toward targets.
  • Organize and maintain digital assets, including company libraries of platforms, passwords, and creative materials. 
  • Work with and hire photographers and videographers for events, projects, and promotional initiatives.
  • Attend sales training meetings to deepen your understanding of ASTOUND’s services, products, and industry positioning. 
  • Assist in executing sales strategies developed by the Client Development and Sales Operations teams.
  • Inspire and support your team to perform at their best, fostering a collaborative and motivated work environment.
  • Act as a brand ambassador for ASTOUND, demonstrating professionalism and commitment to client success.
  • Perform additional duties as assigned, including cross-departmental support for sales-related activities.

QUALIFICATIONS:

  • Proven experience in a similar role, preferably in sales support, operations, or executive administrative functions.
  • Strong organizational skills with an ability to prioritize tasks, meet deadlines, and thrive in a fast-paced environment.
  • Detail-oriented with a high level of accuracy in data entry, reporting, and documentation.
  • Proficiency in Salesforce CRM and reporting tools; familiarity with automation tools is a plus.
  • Analytical mindset with the ability to gather and interpret data for decision-making
  • Excellent written and verbal communication skills, with a persuasive and professional tone.
  • Demonstrated ability to work independently and as part of a team, with a proactive and self-motivated approach.
  • Sound judgement and discretion when handling sensitive information and materials.
  • Flexibility to work outside of standard business hours as needed and travel occasionally.
  • Familiarity with troubleshooting and working with a variety of tools and systems daily.
