General Purpose:
The person reports directly to the Director of Home Care and Independent Living. Provides all administrative support for employees in Home Care and Independent Living. Responsible for coordination of initial orientation for clinical associate onboarding. Provides support to residents using the Medical Clinic. This position carries responsibilities to create, coordinate, and maintain effective and efficient office procedures and processes and contribute to the establishment of necessary changes for highest quality. Organizes supplies, messages, and equipment within the department to ensure smooth processes for all employees. Maintains communication with clients, families, associates and staff using excellent verbal and written communication and maintains compliance with HIPPA.
Essential Duties and Responsibilities:
Orientation
- Initiates the clinical software access for clinical associate onboarding
- Prepares orientation packets for clinical associates
- Assists with scheduling orientation and trainings
Home Care
- Maintain clean and organized office so supplies, forms, and equipment can easily be obtained
- Maintains files electronically
- Ensures home care contracts are scanned and filed electronically
- Helps process time sheets for payroll – enters PTO, holiday, etc
- Ensures expenses for employees are processed accurately to accounts payable
- Files LTC insurance policies for residents/families timely in collaboration with the clinical team
- Proficient and able to maintain records in electronic programs such as Point Click Care (PCC) and Smart Care for Home Care
Medical Clinic
- Provide support to Medical Clinic – appointments, FAX, orders, etc.
- Schedules appointments for residents in the clinic
- Works with physicians, CNPs, and clinicians in Medical Clinic
Other Administrative Duties
- Correspondence, letter writing, e-mail as directed
- Communicate regularly and clearly with family and co-workers
- Maintain accurate statistics
- Ensure hours and billing are completed timely for home care in collaboration with home care scheduler and director
- Maintain professional appearance at all times
- Reviews supplies and orders as needed
- Helps orient new employees to computer programs
- Other duties as assigned

Minimum Qualifications, Education and Certifications:
- 2+ years working with older adults and/or individuals with dementia
- High energy and positive attitude
- Excellent organizational skills
- Computer, verbal, and management skills
- Microsoft office – word, spreadsheets, power point

Requires good vision, hearing, speech and communication skills with the ability to ambulate, project voice, use the telephone, use the computer and read and write English. Additional physical demands may include kneeling, climbing ladders, reaching, pushing, standing, sitting for long periods of time, and speaking clearly on the telephone for extended periods, crouching, stooping, lifting up to 25 lbs. and repetitive motion.
