What You’ll Do:
The Senior Specialist, Benefits & Payroll is responsible for the overall management of the global compensation and benefit programs including the administration of policies and practices in compliance with local, state and federal policies and governmental regulations. This role is not ‘back-office’ management and requires regular high-touch communications with employees and is a key position on the team.
This individual will have ownership of Benefits and Payroll administration and is expected to act with a high degree of confidentiality, autonomy and accountability.
How You’ll Do It:
Benefits & Payroll Operations:
- Program management of all benefits programs, including but not limited to: paid-leave , leave of absence, disability, group health/medical/dental coverage, benefits brokerage , and more.
- Oversight of the 401K program including but not limited to: contribution reporting, payroll integration, arranging financial literacy programs and providing employee support.
- Administers FMLA and disability administration; play key coordination roles between employees and state agencies.
- Maintains and updates employment records in the HRIS regarding salary changes, titles, status updates, new job creation, etc.
- Process bi-weekly payroll using Insperity payroll system for our US employees.
- Process paycheck adjustments, reconcile discrepancies and post adjustments in the payroll system. Regular audits of payroll distributions with benefits carriers (BCBS, VSP, etc.)
- Responsible for onboarding new hires for both payroll and benefits.
- Enhance and create HR Administration SOPs.
Compliance:
- Ensure compliance with federal, state, and local employment laws, regulations, and best practices; regularly review policies to maintain compliance.
- Oversee compliance with annual reporting requirements, for example: EEO-1 and HIRD filings.
- Partner with external brokers and internal stakeholders to plan and execute compliance initiatives.
- Maintain and update the Employee Handbook annually, or as needed, to reflect changes.
- Manage year-end processes, for example: W-2 distribution and 5500 filing.
- Support audits in collaboration with Accounting and Finance teams as required.
Other Responsibilities:
- Coordinate pre-employment communications to ensure candidates are informed and prepared before their start date and have submitted the necessary employment verification documents.
- Manage first-day communications to ensure a smooth and welcoming onboarding experience for new hires, including a new employee benefits orientation.
- Researches, resolves, and responds to employee inquiries and issues.
- Prepare Ad Hoc reports as deemed necessary by management.
What You Need to Succeed:
- Minimum 5 years strong HR Generalist background including Benefits
- Ability to work remotely, with preference for candidates who can join us onsite at our North Reading, MA office 2 days per week.
- Excellent verbal and written communication skills.
- Strong interpersonal, negotiation, and conflict resolution skills.
- Excellent organizational skills and attention to detail.
- Time management skills with a proven ability to meet deadlines.
- High level of customer service skills.
- You enjoy building things and continually strive to do things better than the status quo. You are intellectually curious with an ability to work with a high degree of autonomy through ambiguous circumstances.
- Ability to act with integrity, professionalism, and confidentiality.
- Thorough knowledge of employment-related laws and regulations.
- Proficient in Microsoft Office Suite.
- Proficiency in or the ability to quickly learn HRIS and talent management systems.
