Job purpose
This position is responsible for the professional and efficient management of the corporate office front desk. Answers incoming telephone calls and receives messages as well as greeting visitors, vendors, clients, job candidates and customers. Manages special administrative projects as well as overflow work from departments, including, data entry, company mail, internet research tasks and office support.
Main Responsibilities
- Receptionist: Ensures reception station is staffed or provides clarity on point of contact, as needed. Demonstrates outstanding communication, interpersonal customer service and organizational skills when working with internal team members as well as external visitors, vendors, job applicants, and customers. Ensures completion of paperwork, sign-in and security procedures.
- Administrative/Office Support: Performs routine office tasks necessary for the smooth operation of a professional office environment, including communication with building tenants and partnership with Property Management. Manages building maintenance at corporate by ensuring the facility is in working order. Orders and maintains supplies for the office and employee kitchen
- Assists with clerical tasks including utilization of the telephone system and features, proofreading, data entry, and internet research.
- On an as needed basis, assists with ordering breakfast and lunch for various department meetings. Planning and executing company events for HR.
- Company Mail: Prepares and processes outgoing mail and packages. Tasks include accurate weighing, coding, sorting, affixing postage, addressing, preparing certified/overnight/return receipt mail as well as ordering shipping and office supplies. Sorts delivered mail into appropriate employee mailbox. Signs for deliveries when necessary and notifies recipients. Assists sales departments with product mailers and building care packs
- Assists in managing all other office responsibilities as needed and directed.
Qualifications/Required Skills
- Education and/or Experience: This position requires a high school diploma or general education degree (GED), or one to three years related experience and/or training. Knowledge of administrative and clerical procedures. Preferred Notary Certificate of Commission for the state of Idaho, or willingness to obtain one.
- Communication Skills: Organizes and expresses thoughts clearly and concisely both orally and in writing. Listens, provides and receives positive and constructive feedback. Is friendly, courteous and professional in all interactions. Prepares formats, proofreads and edit documents in a professional manner. Demonstrates excellent telephone skills, and thorough knowledge of grammar, spelling, and punctuation.
- Reasoning Ability: Strong analytical, quantitative, communication, problem solving, and technical skills. Able to creatively apply experience, common sense, and a strategic business perspective to a variety of situations, processes, and people. Must possess basic math skills.
- Decision Making: Demonstrates the self-confidence and maturity to make decisions and solve problems with independence, while respecting confidentiality in discussing sensitive staff and organizational matters. Organized and able to manage and prioritize multiple projects and related decisions with little direction.
- Computer Skills: Essential skills include PC experience using Windows applications, including Word, Excel, PowerPoint, Internet Explorer, and Microsoft Outlook.
Other Details
Work Environment: The position is located in a corporate business office environment with moderate noise levels and requires sitting at a desk for extended periods of time.
