POSITION SUMMARY
To perform this job successfully, an individual must be able to satisfactorily perform each essential duty listed below. The person in this position will work with project teams to navigate day-to-day issues while continually addressing project sustainability.
ESSENTIAL JOB DUTIES, FUNCTIONS, AND RESPONSIBILITIES
- Convey information and ideas to individuals and groups in a variety of situations; communicate in a focused and compelling way that drives others’ thoughts and actions.
- Coordinate grant budget monitoring and budget building.
- Serve as the fiscal expert on the grant by providing routine reports on the status of expenditures, invoices, sub-awards, and the overall budget. Enter financial data and supporting documentation into the appropriate systems.
- Develop a working knowledge of the funding agency and award compliance. Ensure that all the grant statutes and Marion Technical College policies are followed. Monitor sub-award fiscal activity if required. Serve as fiscal representative during desk reviews and audits on projects.
- Assure appropriate supporting documents, forms, and reports are filed accurately and completed on schedule. Assist each grants’ project team with creating and acquiring documentation. Assist the project team with completing time and effort reporting and tracking personnel funding time.
- Develop and maintain data fields, spreadsheets, formulas and report formats. Manage databases, develop reporting and record criteria.
- Schedule meetings, prepare agendas and provide meeting minutes.
- Maintain excellent working relations with the public, faculty and internal contacts as a representative of the College. Advise the college and stakeholders on various matters.
- Facilitate student on-boarding. Collect accurate data and maintain a database of participants as outlined by the reporting requirements of the funding agencies and the external evaluators.
- Serve as primary point of contact for program participants. Provide information on academic programs of study and next steps for enrollment, registration, fee payment. Provide assistance and information about campus services and resources.
- Contribute to the development and execution of an overarching marketing plan for outreach and engagement. Develop a month-by-month outreach plan that assists in driving initiatives to increase enrollment in programs that support the related industries and career pathways. Coordinate outreach to target populations including: prospective high school students, adult learners, incumbent workers, and K-12 administrators and faculty.
- Plan, organize and execute events for participants, which include but are not limited to admissions events, college and career nights, workshops, camps, summer enrichment programs, and faculty professional development.
- Coordinate the development of promotional materials for sponsored projects. Develop an understanding of material archiving and dissemination requirements for sponsored projects. Facilitate promotion of projects at conferences, dissemination by the project team, and other events.
- Complete special projects as assigned. Work with the grant project teams to develop and implement methods and research for completing projects in consideration of overall goal and project results.
- Work assigned schedule. Exhibit regular and predictable attendance and work outside of normal schedule as needed.
- Perform other related duties as required.

Qualifications: Associate’s degree in English, Business, Communication, or an appropriately-related field of study. Grant management and higher education experience preferred. State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s). Exhibit excellent English, communication, and composition writing skills. Proficiency in Microsoft® Office programs (Word, Excel, PowerPoint, Access, and Outlook) with excellent computer and related technology skills required. Demonstrate the ability to work independently and complete projects with minimal direction and oversight. Willingness to work an irregular schedule as assigned. Ability to successfully pass background checks, including FBI/BCI, prior to and after employment. Valid driver’s license or dependable transportation required. Smart phone required to allow access to MFA-protected services.
ADA Specifications: This position is classified as Professional - Management, Professional, Administrative, and Support and will perform a wide range of professional and administrative support functions for the college, primarily in an office setting.
