Powerhouse Arts is a not-for-profit organization committed to creative expression. Housed in a purpose-built-facility in Brooklyn, the organization hosts an extended network of art and fabrication professionals and educators who work together to co-create and share artistic practices vital to the well-being of artists and the communities to which they serve. Our new facilities house fabrication services, production services, production spaces, and member workshops for artisans. In 2025, PHA expects to welcome in thousands of patrons as the building becomes a center for art and performance. Over the next few years, PHA will see growth and expansion in all areas of business and an increased focus on revenue generation.
The Public Art Production Coordinator is a core project coordination role that serves as the operational backbone for large-scale public art projects. This position manages the financial, logistical, and administrative aspects of project delivery, working closely with Producers and Fabricators to ensure seamless execution from initial planning through project completion. The role requires exceptional organizational skills, strong financial acumen, and meticulous attention to detail to support complex, multi-stakeholder public art installations.
Responsibilities include, but are not limited to:
Financial Management
- Monitor project budgets and alert Managers of budget variances
- Support the department with account reconciliations and support regular financial reporting
- Record and categorize all project-related expenses, receipts, and reimbursement requests
- Review and process vendor payments while ensuring alignment with contracted services
- Generate and monitor client billing based on completed milestones and contract terms
- Handle approved purchasing and maintain vendor data
Project Coordination
- Monitor project timelines, deliverables, and site coordination needs
- Support the preparation of progress reports, client submittals, and project closeout deliverables
- Support Managers with scheduling, documentation, and task tracking
- Coordinate calendars and facilitate meetings between internal teams, clients, and external partners
Inventory & Logistics
- Track material inventory levels, incoming deliveries, and material usage
- Coordinate material purchases and delivery scheduling to meet project timelines
Qualifications:
- Strong interest in supporting large-scale public art projects
- 2-4 years of experience in project coordination, financial administration, or related field
- Proficiency with project management software, financial tracking systems, and Microsoft Office Suite
- Strong financial acumen with experience in budget tracking and expense management
- Exceptional organizational skills with ability to manage multiple complex projects
- Excellent attention to detail and accuracy in financial and administrative tasks
- Strong communication skills with ability to interface effectively with diverse stakeholders
- Proactive problem-solving abilities and comfort in fast-paced, deadline-driven environments
