Job Summary:

The Operations Coordinator is responsible for providing logistical, administrative, and technical support for the Community Engagement team, whose focus is on the engagement of community members of all ages through a variety of programs including smaller, regional specific programs and larger city- wide initiatives.  The coordinator works closely with the Community Engagement team to analyze and improve organizational processes and improve the quality, productivity, and efficiencies in the planning, development, and execution of adult programs.

Key Essential Job Duties: 

Film

  • Play a key role in all aspects of creating and implementing the JCC Chicago’s Jewish Film Festival and ReelAbilities as well as any additional cultural offerings.
  • Artistic – Film selection, identify opportunities and arrange for talk backs, collateral events, and facilitate the Student Film Competition.
  • Administrative - Procure films and associated creative materials from distributors, film scheduling, navigation of film to theaters and return, negotiate fees, lead staff at theaters representing agency throughout festival.
  • Work closely with Marketing and Creative team to identify and implement efficiencies that will benefit the success of Community Engagement initiatives, with an emphasis on film festival and adult programs.
  • Direct program support during the time of the festival.

Community Programming

  • Confirmation of presenters Shalom Over 50 and Community Days.
  • Programming for Shalom Over 50 and Community Days.
  • Work with Senior Coordinator of Family Programming/marketing and Support to assure accurate and smooth communication.
  • Reporting of numbers/participants to CJE (They pay for lunches in Skokie at their location – but we order it). 
  • Support Nia for Parkinsons and Virtual Community Days programming weekly.
  • Scheduling of docents for all Growing Hope Programs.

 

Other Responsibilities

  •  Serve as site staff for all Community Engagement programming, as necessary.
  • Identify and work with Community Engagement team on opportunities to provide life-enriching experiences for adults of all ages across the metropolitan area.
  • Work closely with the Advancement team to create and implement best practices vis-à-vis program evaluations, data management and collection and reporting for all Community Engagement programming.
  • Proactively engage with JCC staff across the agency to ensure cross promotion of agency programs and services, looking for ways to connect participants to a broad array of JCC offerings.
  • Purchasing for department to assure best practices in leveraging resources.
  • Coding invoices through the AP system.
  • Other duties as assigned.

Physical Requirements:

  • Demonstrate physical stamina and agility required to be mobile for long periods throughout the day.
  • Ability to physically procure, lift, move and set up program supplies (minimum 20 lbs) for direct program support.
  • Stand for long periods of time and be able to actively engage with adults of all ages.
  • Possess strength and endurance required to set up, facilitate/host and clean up events.
  • Clearly and effectively communicate in a manner that adults understand.
  • Ability to climb stairs, access public and private transportation. (in the case of an emergency).
  • React with physical and mental alertness in emergency situations.
  • Vision – must be able to distinguish between colors, shades, and brightness with ability to focus. 
  • Maintain a sense of calm and perspective with physical and mental alertness during stressful times.

Monday – Friday 9:00am-5:00pm with flexibility to accommodate evening and weekend programming needs

Education Qualifications:

  • Bachelor’s Degree required

Previous Experience:

  • 1-3 years demonstrated success developing and facilitating cultural and experiential learning programs geared toward adults.
  • Experience creating and implementing Jewish programming highly preferred.
  • Demonstrated success building new and expanding upon existing program areas that led to customer engagement and meeting of business goals.
  • Demonstrated success in data management and reporting.
  • Previous experience developing and managing budgets.
  • Previous experience working as a member of a team.

 Other Requirements:

  • Ability to demonstrate and lead with JCC Chicago’s Four Core Values: Self-Leadership and Accountability, Creativity and Innovation, Teamwork and Collaboration, and Customer Service.
  • Intermediate proficiency in Microsoft Word, Excel, SalesForce or similar databases with the ability to learn other systems as required.
  • Strong organizational and multitasking abilities; detail-oriented with follow up and following through skills.
  • A passion for working as part of a broader team of professionals dedicated to Jewish adult education and outreach.
  • Must be able to communicate with a varied audience including program participants, vendors and other JCC colleagues.
  • Demonstrated dependability, timeliness, flexibility, and adaptability.
  • Must be able to work some evening and weekend events.
  • Know the difference between appropriate and inappropriate behaviors. Prevent, circumvent, and deal with problem behaviors appropriately and effectively.
  • Implement activities to meet a broad range of physical, emotional, intellectual, and social needs of the adults aged 22 – 102.
  • Consistently demonstrate and reinforce the values of caring, respect, honesty and responsibility.
  • Must have reliable transportation, valid driver’s license for at least 24 months, proof of insurance (with a minimum $250,000 liability) and be willing and able to travel between various JCC sites.
