The HR Receptionist serves as the first point of contact for the County, providing professional front desk coverage and exceptional customer service. Responsibilities include greeting and directing visitors, answering and routing calls, managing reception area appearance, and maintaining office supplies. This role also supports the Human Resources department through a variety of administrative tasks, such as assisting with applicant tracking and recruitment processes. The position requires strong organizational skills, the ability to multi-task and prioritize effectively, and a proactive approach to problem-solving. Success in this role relies on professionalism, confidentiality, and a commitment to creating a welcoming and efficient environment for employees and the public.

Position Duties

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Serve as the front office receptionist by greeting visitors, directing guests, and managing incoming calls with professionalism.
  • Perform a variety of clerical and administrative tasks to support HR operations, including scanning, filing and copying plus maintaining employee records, and assisting with other routine office functions as assigned.
  • Assist with all phases of the recruitment, hiring process and onboarding, including job postings, applicant communication, interview scheduling, and related tasks.
  • Support the HR Department by managing the County’s applicant tracking system (NeoGov) to ensure accurate and timely updates.
  • Coordinate resource scheduling through Microsoft Outlook calendars (e.g., conference rooms, equipment, meetings).
  • Monitor office supply inventory and collaborate with the HR Manager to order supplies in a cost-effective manner.
  • Maintain a clean, organized, and professional appearance for the reception area and supply closets.
  • Ensure front office coverage from 8:00 a.m. to 5:00 p.m.
  • Perform other clerical, administrative, or HR-related duties as assigned in support of departmental needs.


Minimum Qualifications

High School Diploma or equivalent.  Must be insurable by agency insurance carrier.  Must have valid Texas driver’s license, provide proof of insurance, and have adequate transportation.

Knowledge, Skills, and Abilities

  • Knowledge of standard office practices, procedures, and equipment.
  • Proficiency in Microsoft Office 365 (Word, Excel, Outlook), email, scheduling, HRIS systems, and general office technology.
  • Skill in clerical and administrative tasks include filing, scanning, document preparation, data entry, and recordkeeping.
  • Strong verbal and written communication skills with the ability to interact effectively with employees, officials, and the public.
  • Ability to read, interpret, and apply County personnel policies, procedures, and related regulations (preferred, not required).
  • Ability to organize, prioritize, and complete work accurately within deadlines while managing multiple tasks.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Ability to work independently as well as collaboratively across departments in a diverse and inclusive environment.
  • Basic problem-solving, analytical, and decision-making skills to address routine administrative issues.
  • Accurate typing, data entry, and ten-key skills.
