Position Summary
The Donation Coordinator II position is responsible for the efficient management, screening, acquired, and assessed for donor eligibility following BioTissue Exclusionary criteria, AATB standards and FDA regulations. This role is instrumental in assisting to manage daily donor volume, including screening for donors acquired through our exclusive partnerships. They will evaluate all available medical records, delivery records, acquisition records and related required documentation as available and assign unique identifiers as appropriate. They will escalate concerns to the administrator on call (AOC) services, including after hours and on weekends when on call schedule. They will assist with providing interested birth mothers information as requested and present the opportunity for tissue donation when required. This position is responsible for independently performing and assessing the functions related to obtaining legal/informed donor consent, and Donor Risk Assessment Interview (DRAI), as well as performing the initial review of the donor's medical records to screen for risk factors and exclusionary criteria as part of the donor eligibility process. Responsibilities include collaborating with the exclusive partner, when applicable, to retrieve any additional information necessary for the donor eligibility and/or the Medical Director's review/determination of final donor eligibility/release of tissue. The Donation Coordinator II will also perform various additional duties for the Tissue Procurement department including maintaining hospital EMR access (when appropriate) precepting, training and assessing competency of Intake/Donation Coordinators I.
Essential Duties & Responsibilities
- Facilitate the acquisition of birth tissue though relationships with our exclusive strategic partners by responding to screening requests of potential donors and assessing initial eligibility prior to acquisition. The Donation Coordinator II will be responsible for the review of all relevant records, assignment of a Sharing Miracles unique identifier when appropriate, and completion of the Birth Mother Screening Form.
- Contact potential birth tissue donors and lead discussions to provide support, answer questions and obtain legal/informed consent in accordance with Food and Drug Administration (FDA) regulations & American Association of Tissue Banks (AATB) standards, when necessary. Responds to inquiries from potential donors regarding donation and documents appropriate information in BioTissues electronic donor management system. If appropriate, ensure phone consents are recorded appropriately and housed effectively for easy access if requested upon an audit.
- Obtains, documents and/or evaluates a comprehensive medical and social history interview/Donor Risk Assessment Interview (DRAI) of the birth mother and facilitates the recovery process in compliance with FDA and AATB standards and BioTissue policies. Accurately completes the electronic donor record, verifies each question in its entirety and thoroughly documents answers, clarifying all questions answered as "yes" and documenting any needed additional follow up information.
- Access, coordinate, collect, and review patient's medical record information as part of the donor screening process and to determine assess for eligibility prior to tissue acquisition. Perform initial review of Acquisition records & Lab Requisitions to ensure completion & accuracy and to proactively identify any areas of concern.
- Review any new information obtained following acquisition, prior to forwarding the completed chart to the Medical Director to determine final donor eligibility and resolve any issues or concerns with the donor chart.
- Supports potential and actual birth tissue donors by providing necessary details about the acquisition process, benefits of donation, follow up or acceptance/deferral outcome information, both pre and post-acquisition, as appropriate, ensuring they have organizational contact information and maintain a positive donation experience.
- Ensures departmental quality guidelines are maintained with timely clearance of donor charts/corrections to maximize opportunities for transplantation and provide essential customer services both within BioTissue and outside the organization.
- Facilitates routing of necessary corrections or requests for additional information to the exclusive strategic partner necessary to assess final donor eligibility.
- Assists with the training and precepting of new Intake/Donation Coordinator I, assessing competency and mentorship in areas of donor screening, medical suitability and the use and documentation required in the electronic donor management system.
- Perform administrative duties in the GMP environment including, but not limited to filing, copying, scanning, shredding or archiving GMP documents for the Tissue Procurement department as needed.
- Assist with the documentation and investigation of Non-conformances and Corrective/Preventive Actions (as applicable) as related to the Consent, Donor Screening & Acquisition process as requested.

Position Expertise/Qualifications
- Associates degree in Life Science, or equivalent experience or a combination of education and experience, required.
- Certified Tissue Banking Specialist, preferred (and must be obtained within 18 months of employment)
- 3 years experience in a GMP or Hospital setting; or equivalent education, or a combination of both, required.
- 3 years experience in Tissue Banking (donor coordination, call center, recovery, processing), required.
- 1 year experience in precepting and competency assessments, required
