The Purchasing & Contracts Coordinator plays a key role in managing purchase contracts, vendor relationships, and shipping logistics within an agriculture-based business. This position supports the full lifecycle of purchasing—ensuring accuracy in contracts, timely deliveries, and proper documentation. Success in this role requires a strong eye for detail, excellent organizational skills, and the ability to manage both contractual and financial workflows in a fast-paced, commodity-driven environment.

  • Draft, review, and manage purchase contracts, ensuring accuracy in pricing, quantities, and shipping timelines.
  • Monitor contract status, track amendments, and ensure compliance with agreed terms.
  • Coordinate with vendors to confirm execution and resolve discrepancies.
  • Issue shipping instructions to ensure timely delivery to company facilities.
  • Monitor shipping reports and address any delays or issues proactively.
  • Organize and file all shipping and contract documentation in Global Search.
  • Maintain and update the Vendor Master database with current contact and business details.
  • Act as the primary contact for vendors regarding contracts, payments, and shipping coordination.
  • Accurately process vendor invoices and assist with weekly check runs.
  • Ensure all purchase and shipping records are organized, accessible, and audit-ready.
  • Maintain compliance with both internal processes and external regulatory requirements.
  • Generate and distribute regular reports on contract statuses, shipments, and vendor accounts.
  • Perform other duties as assigned by management. 

Skills, Knowledge and Expertise

EDUCATION AND FORMAL TRAINING:
  • High School Diploma or equivalent, required.
  • College Degree in related field, preferred.
  • 2–5 years of experience in purchasing, contracts administration, or supply chain operations—preferably within an agriculture or commodity-based industry.
  • Proficient in Microsoft Office (Excel, Outlook, Word); experience with document management systems such as Global Search is a plus.
  • Familiarity with shipping documents, vendor payables, and purchasing systems.
  • Excellent attention to detail, organizational skills, and the ability to manage multiple deadlines.
  • Strong communication and negotiation abilities.
 
KNOWLEDGE, SKILLS, AND ABILITY:
  • High level of accuracy in data entry and contract oversight.
  • Ability to work independently while coordinating with cross-functional teams.
  • Strong follow-up and issue resolution capabilities.
