Job Description:

The Purchasing Manager is responsible for leading and executing procurement strategies that optimize cost, quality, material availability, space utilization, and cash flow. Reporting to the Vice President of Bindery Services, this role manages supplier relationships, sources materials, negotiates contracts, and ensures the timely and cost-effective purchase of supplies and equipment. The Purchasing Manager plays a critical role in aligning procurement activities with production requirements and broader business objectives, driving operational efficiency, supplier performance, and sustainable cost control.

Responsibilities and Duties

Procurement Strategy & Execution

- Develop and implement purchasing strategies that balance cost, quality, material availability, inventory space, and cash flow.
- Evaluate market trends and pricing to secure competitive costs while maintaining quality standards.
- Coordinate with production and operations teams to forecast demand and plan purchases accordingly.

Supplier Management

- Identify, evaluate, and manage relationships with key suppliers.
- Negotiate terms, pricing, delivery schedules, and service agreements.
- Implement supplier performance metrics and scorecards to monitor quality, reliability, and cost-effectiveness.
- Drive a shift from vendor management to supplier partnership, fostering collaboration and long-term value creation.

Inventory & Cost Control

- Collaborate with inventory and warehouse teams to maintain optimal stock levels.
- Implement kanban systems, vendor managed inventory, and vendor-owned inventory, as appropriate.
- Monitor inventory turnover, minimize excess or obsolete inventory, and optimize warehouse space utilization.
- Track purchasing KPIs and identify cost-saving and efficiency opportunities.

Compliance & Documentation

- Ensure all purchases meet internal quality and compliance standards.
- Maintain accurate purchasing records, contracts, and supplier information.
- Prepare reports and analysis for executive leadership as needed.

Cross-Functional Collaboration

- Work closely with the team to understand material specifications and timing needs.
- Support new product launches or equipment procurement projects.
- Partner with Finance and Accounting on budgeting, invoice reconciliation, and cash flow management.

Qualifications:

- Bachelor’s degree in Supply Chain Management, Business, or a related field.
- 5+ years of experience in purchasing, procurement, or supply chain management, preferably in a manufacturing or production environment.
- Proven negotiation and supplier management skills, with a focus on strategic partnerships.
- Strong understanding of inventory control and purchasing systems (e.g., ERP or MRP systems).
- Excellent organizational, analytical, and communication skills.
- Proficient in Microsoft Office.
