Job Description:

Summary:


The Associate Director of Operations position provides essential support and oversight for the functioning of The Institute for Responsible Carbon Removal in the School of International Service at American University (AU). The position works with the Institute’s Director of Research and Director and departments within SIS and across the AU campus to develop and manage the various activities and workstreams of the Institute. Such activities include supporting ongoing fundraising and sponsorship initiatives to further diversify revenue for the Institute. The position entails supervisory responsibilities and coordination of research fellows and support staff.

Essential Functions:

1.) Communication and Outreach

  • Leads in promoting the work of the Institute through Social Media outlets and emails to listserv utilizing Mailchimp (or Maintaining ongoing webinar series via outreach and communication with panelists, working in conjunction with necessary departments in SIS to schedule and secure Zoom license, handle all promotion through social media and listserv, provide technical support during the event, ensure that recording is posted on the website and promoted.

  • Maintaining and updating the various websites associated with the Institute, including the main webpage utilizing CommonSpot, and other various websites, including blog postings, utilizing WordPress.

  • Managing and maintaining the Institute blog, contributing regularly to content and conducting outreach to various fellows and stakeholders to obtain submissions.

  • Assisting in the development and design of new educational materials from the Institute staff and fellows, including all administrative aspects of printing, ensuring accessibility, etc.

  • Conduct research that leads to blog posts, working papers and other institute products.


2.) New Business Development

  • Working with Institute staff and faculty and with Institute affiliates, assist with identification and development of new project areas and funding opportunities.

  • Lead on grant-writing and program officer relationship cultivation. Responsibilities include setting timelines and coordinating proposal development and writing among faculty directors/PIs, staff, and campus and community partners.

  • Work with the Institute’s financial manager and the School of International Service’s Office of Research and Office of Financial Operations to develop budgets and to ensure timely submission of proposals in line with funder requirements.


3.) Event and Conference Coordination

  • Coordinating and organizing all logistics around working group conferences and retreats for 25-35 people twice yearly.

  • Coordinating and organizing all logistics around the Annual Conference on Carbon Removal Law and Policy included but not limited to, building and maintaining the website, collecting and organizing all proposals.

  • Developing agenda and schedule, contacting all participants and running technical check sessions.

  • Managing all logistical aspects of sourcing, hiring, and providing direction to technical support contractors. 


4.) Development and Management of Environmental Justice Fellowship Program

  • Contribute meaningfully to ongoing planning.

  • Handling all logistical aspects of working with the appropriate departments to ensure the launch of the program and ensuring compliance with university protocols.

  • Assisting in the development of onboarding materials, curriculum development & recruitment.

  • Assisting in the planning and development of summer school “boot camps” for all fellows, including taking on responsibility of all coordination behind logistics of event planning.

 5.) Other Duties as Assigned

Position Type/Expected Hours of Work:

  • Full-Time.

  • 28 hours per week.

  • This is a temporary full-time position expected to end on or before January 31, 2026. Continuation of the program/position is contingent upon external funding.

  • This is not a union-eligible position.

Salary Range:

  • $66,580 annually.

Required Education and Experience:

  • A Bachelor’s degree or equivalent in Economics, International Service, Environmental Studies, Communications, Public Policy, or a related field.

  • 3-5 years of relevant experience including coordinating events, meetings, or networking functions is required.

  • The ability to work independently, balance a multitude of tasks, be a self-starter, and collaborate as a member of a multidisciplinary team is essential.

  • Prior communications experience, a thorough understanding of communications strategy and the professional uses of social media.

  • Prior budgeting and accounting experience is required, including a thorough understanding of how to manage multiple budgets, project spending, and monitor reporting.

  • Strong attention to detail.


Preferred Education and Experience:

  • The ability to communicate effectively with professionals who may be expert and/or prominent in their fields is essential.

  • Team leadership, meeting and project management experience preferred.

  • Proficiency in Excel, Mailchimp, and WordPress essential; Knowledge of Adobe InDesign preferred.

Travel Required:

  • Up to 6 times per year, domestic and international.
