We are now seeking a full-time Front Desk & Administrative Coordinator (Bilingual Preferred) Houston to join our growing team in our Houston, TX location. This individual will play a key role in supporting our team in Houston, TX along with the other branches if needed. The ideal candidate is detail-oriented, collaborative, and eager to learn in a fast-paced logistics environment.
What you’ll do
- Greeting visitors and drivers with a professional, friendly welcome; manage sign-in, badges, and visitor logs.
- Answer and route incoming calls; monitor the shared inbox; take accurate messages and follow ups.
- Support managers across departments (Operations, Projects, Customer Service, Accounting, HR) with calendars, meeting prep, travel, filing, and document formatting.
- Front office operations: receive/sort mail and courier shipments; coordinate office supplies and vendor service calls.
- Meeting & guest logistics: book conference rooms, set up A/V, arrange refreshments, and keep common areas tidy.
- Light admin for freight ops/accounting: scan/label PODs and documents, update spreadsheets, and assist with data entry as needed.
- Confidentiality & professionalism: handle sensitive information with discretion and maintain a polished front-of-house.
What you’ll bring
- Bilingual (English/Spanish/Portuguese/Mandarin) strongly preferred—comfortable greeting guests and handling calls in at least two languages.
- Computer-literate: Outlook/Email, Word, Excel, and basic PDF tools; quick to learn new systems (CargoWise/Magaya/CRMs a plus).
- Excellent verbal and written communication; warm, service-oriented demeanor.
- Strong organization and follow-through; able to juggle multiple requests and shift priorities.
- 1–3+ years in a front desk, receptionist, office coordinator, or administrative assistant role (logistics/freight experience is a plus but not required).
- Reliability and punctuality—this is an on-site role supporting our Houston branch.
