Major/Essential Functions

  • Research, plan, and organize all Project ECHO/CME events.
  • Program and coordinate yearly ECHO/CME series.
  • Host assigned Project ECHO/CME events in collaboration with COSH.
  • Share COSH-provided links with enrolled providers and maintain accurate attendance logs.
  • Answer phones and manage incoming/outgoing correspondence; track the status of all communications.
  • Draft, proof, and edit correspondence for clarity, grammar, punctuation, and professionalism.
  • Prepare, format, and finalize correspondence on behalf of staff, leadership, and programs.
  • Coordinate travel for CPAN team members, resolving issues as needed. Prepare travel applications, vouchers, and reimbursement logs in compliance with TTUHSC El Paso, CPAN Project, and Departmental guidelines. Coordinate and schedule routine and urgent in-person and virtual appointments.
  • Schedule and track virtual visits via EMR. Maintain organized filing and record-keeping systems for efficient information retrieval.
  • Coordinate outreach events to recruit and engage providers in assigned regions.
  • Ensure staff have necessary information, agendas, and materials for meetings and conferences.
  • Prepare accurate and timely meeting minutes when requested.
  • Complete special assignments with independence and attention to deadlines.
  • Assist with planning and implementation of departmental initiatives.
  • Manage departmental supplies, inventory, and purchasing.
  • Provide administrative support to the Program Director and departmental staff as assigned.
  • Remains current with all licensure, certifications and mandatory compliances and trainings required of this position.
  • Adhere to all TTUHSCEP policies, procedures and processes.
  • Personally demonstrate, display, and act in accordance with TTUHSCEP values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork).
  • Perform all other duties as assigned.

Preferred Qualifications

  • Bachelor Degree. Bilingual. Excel
  • Desire proficiency with Microsoft Office software.
  • Be able to handle various tasks simultaneously. Answer multi-line phone system. Can skillfully direct phones calls to appropriate sources for assistance.
  • Ability to keep or to supervise the keeping of complex records; to assemble and organize data of a complex nature; and to prepare and submit required reports from such records.
