Position Summary

The MOW Relief Coordinator will have the unique opportunity to work with the Meals on Wheels team in a developmental capacity. This role is designed for a candidate to train and learn under experienced Coordinators, gaining exposure to administrative duties, route management, and staff oversight, while simultaneously assisting with daily meal deliveries as a relief driver. The Relief Coordinator will be pivotal in ensuring client satisfaction and operational efficiency, serving as a flexible resource to support both coordination and delivery needs. 

 

 

 

 

Main Responsibilities

 

Relief Driving Duties:

 

  1. Using personal vehicle or, if available, a Hot Shot delivery truck, deliver hot/frozen meals to Meals on Wheels clients in an assigned route area. 
  2. Load and unload meals on and off the truck. 
  3. Maintain appropriate meal temperatures and record the data for quality assurance purposes. 
  4. Be knowledgeable of multiple delivery routes and be able to substitute for any regular driver. 
  5. Provide general information and referrals when requested by a client. 
  6. Record deliveries on route sheets and maintain accurate information. 
  7. Submit daily meal counts to the office. 
  8. Develop and maintain accurate directional information. 
  9. Report the name and address of any participant not seen in two consecutive days. 
  10. Maintain the cleanliness of the vehicle and report maintenance needs to the supervisor. 
  11. Distribute written material and other items to clients as required. 
  12. Report immediately any suspected abuse or suspicious situation to the main office

 

Coordinator Training & Support Duties: 

 

  1. Assist with the coordination of daily assembly, distribution, and delivery of home meals. 
  2. Learn to manage assigned routes, including understanding the roles of drivers and relief drivers, and the associated documentation and forms. 
  3. Support back-up drivers to ensure timely deliveries. 
  4. Gain familiarity with internal Meals on Wheels processes and procedures to ensure client safety and satisfaction and compliance with all funder and government regulations. 
  5. Assist in preparing, reviewing, processing, and transmitting required program documentation. 
  6. Learn to collect appropriate data and prepare and transmit reports as needed. 
  7. Support the regular review of driver reporting (i.e., routing, directions, mileage sheets, and timesheets) to ensure accurate reporting by drivers. 
  8. Shadow Coordinators in monitoring drivers on-the-job to ensure proper procedures are being followed and to verify route maps. 
  9. Assist with recommendations for adjustments to routes and schedules to assure efficient delivery, balanced workload, and maximum number of meals delivered. 
  10. Learn to assure that all drivers have valid and timely insurance documentation in consort with IM Human Resources department. 
  11. Support the Manager of Client Service on client issues and ensure that drivers are reporting client needs in an appropriate and timely fashion. 
  12. Assist in maintaining cleanliness and organization of personal work area and Moran Distribution Center, assuring preparations for daily operations, and maintaining equipment and supplies. 
  13. Support the Manager of Operations in responding to questions, concerns, and complaints from clients. 
  14. Assist in overseeing and ensuring the distribution of monthly education information to clients. 
  15. Participate in coordinating and providing training and orientation for part-time drivers. 
  16. Learn to coordinate and provide direction to part-time drivers regarding on-the-job injuries and assist the Human Resources Department with investigations of all accidents. 
  17. Attend assigned meetings and training activities to learn current, new, and proposed regulations and policies, and assist in communicating and implementing new or updated policies and procedures. 
  18. Assist with the receiving and storage of products for the freezer and warehouse when required. 
  19. Perform other duties as assigned by the Manager of Operations or Coordinator staff. 

 

Qualifications, Skills & Experience

 

  1. High school diploma or equivalent required; Associate’s Degree or two years equivalent professional work experience preferred. 
  2. Must be over 21 years old and have a valid driver’s license with an excellent driving record. 
  3. Must have reliable automobile, valid auto registration and inspection, and valid automobile liability insurance as required by law available for submission at all times during employment with the organization. 
  4. Fluency in written and spoken English is required. 
  5. Excellent organizational skills. Ability to plan and organize multiple tasks, handle detailed work, and meet deadlines. 
  6. Proficiency in Microsoft Office, especially Word, Excel, and PowerPoint, or the ability to quickly learn. 
  7. Ability to quickly learn databases and prepare written and computer reports. 
  8. Excellent written and verbal communication skills. 
  9. Excellent interpersonal skills. Must be able to interact with all levels of the organization and work effectively in a team environment. 
  10. Food Service Manager’s Certification is required or may be earned in the 1st 90 days of employment. 
  11. Must be able to lift at least 20 pounds on a regular basis. 
  12. Able to follow maps and written directions. 
  13. Friendly demeanor, courtesy and patience are required.
