We are seeking a detail-oriented and organized Onboarding Facilitator for a temporary contract position to manage our employee onboarding process remotely. This role will serve as the primary point of contact for new hires during their onboarding journey, ensuring smooth document processing, timely communications, and a positive first impression of our organization.


Document Management & Compliance
Process and verify all new hire documentation including I-9 forms, tax documents, employment agreements, and benefit enrollments
Maintain accurate records in HRIS and ensure compliance with federal, state, and local employment regulations
Track document completion status and follow up on missing or incomplete paperwork
Coordinate background check and reference verification processes
Communication & Coordination
Serve as the primary email correspondent for new hires from offer acceptance through first day
Send welcome communications, onboarding schedules, and pre-boarding materials
Respond to new hire questions and concerns promptly and professionally
Coordinate with IT, Facilities, and department managers to ensure workspace and equipment readiness
Schedule and facilitate virtual orientation sessions and onboarding meetings
Process Management
Execute standardized onboarding workflows and checklists for each new hire
Monitor onboarding pipeline and maintain tracking spreadsheets or systems
Identify bottlenecks in the onboarding process and escalate issues as needed
Prepare onboarding packets and ensure timely distribution of company materials
Generate reports on onboarding metrics and completion rates


Required Qualifications
2+ years of experience in HR administration, onboarding, or similar coordination role
Proven ability to work independently in a remote environment
Excellent written and verbal communication skills
Strong attention to detail and accuracy in document processing
Proficiency with HRIS systems, Microsoft Office Suite, and/or Google Workspace
Experience with email management and professional correspondence
Ability to handle sensitive and confidential information with discretion
Strong organizational skills with the ability to manage multiple onboarding processes simultaneously
Preferred Qualifications
Experience with remote onboarding processes and virtual collaboration tools
Knowledge of employment law and I-9 compliance requirements
Familiarity with applicant tracking systems (ATS) and onboarding platforms
Previous experience in a contract or temporary HR role
SHRM-CP, PHR, or similar HR certification
Contract Details

Duration: 3 month contract

Schedule: 30-40 hrs on average

Location: Fully remote position

Equipment: Must have reliable internet connection and quiet workspace; company laptop may be provided
