Summary
Freeman is seeking an Office Manager to oversee Human Resource functions for all full-time and part-time employees for the CSS Growth, including administration of required new-hire paperwork. Manage administrative functions for the CSS Growth to include some or all of the following: payroll, accounting, travel, and purchasing.
This position will support our Strategic Sales Planning group under our Growth (Sales) team. It is eligible to work a hybrid schedule, generally requiring work in-office and/or show-site 2-3 days per week. The ideal candidate will be based out of any of the following locations:
- Dallas, TX
- Las Vegas, NV
- Orlando, FL
Essential Duties & Responsibilities
• Oversee process for hiring and training, including set up of physical office location or remote access for remote employees. Manage any changes or updates to current employee statuses.
• Work closely with HR Generalists to ensure compliance with HR policies and procedures.
• Reconcile monthly P&L indirect expenses and reclassifying of expenses as appropriate and prepare monthly report of indirect expenses. Help manage team budget reconciliation. Provide tracking of all indirect “future sales expenses” and reclassify as appropriate.
• Research and code monthly AMEX travel charges. Prepare and Process weekly Pcard transaction approvals and reconciliations.
• Work with Regional Branch Office Managers to coordinate and support all corporate initiatives.
• Maintain, input and ensure proper coding for all payroll related information for all hourly employees and provide weekly reports for all supervisors for approval. Manage hourly employees for properly entering their hours and submit to Payroll weekly.
• Manage team events such as Employee Appreciation and Star of Excellence. Ensure team is included in appropriate branch Customer Service Week and Employee Summits.
• Coordinate and reconcile project CAPEX orders, uniforms, computer equipment, software, office equipment, cellular equipment, tablets, data plans and replacements. Track equipment for entire team.
• Utilize a variety of complex online and in-house systems to assist in the problem solving process.
• Process accounts payable invoices through appropriate systems.
• Perform other duties as required.
Education & Experience
• Minimum Four (4) or more years related experience required.
• Associate’s degree preferred, High School Diploma or Equivalent with relevant work experience required
• Demonstrated written and verbal skills necessary to complete assigned tasks.
• Ability to handle sensitive information with the highest degree of confidentiality required
• Ability to write reports, business correspondence, and procedure manuals
• Ability to effectively present information and respond to questions from employees, managers, and customers
• Must be detail-oriented and have the ability to multi-task
• Must have solid decision-making skills within the scope of the position
• Must have the ability to meet deadlines
• Must have excellent customer service skills
• Above average proficiency in MS Office Word, Outlook, Excel, PowerPoint, Salesforce
• Must have familiarity with of variety of software programs
