Summary
The Philadelphia Orchestra and Ensemble Arts (POEA) is in the final stages of a multi-year Comprehensive Campaign to secure critical annual, endowment, and capital funding. As the Campaign enters its public phase, this role will serve as the operational backbone of campaign activities, ensuring department coordination, timely communications, and administrative support to leadership and volunteer committees. In addition, this role will help lay the groundwork and support for future transformative campaigns at POEA.
The Campaign Manager will support the creation of campaign proposals, maintain accurate gift agreements, prepare campaign reports, track donor and prospect activity, prepare materials for donor meetings, and facilitate effective campaign committee engagement. The ideal candidate is a highly organized, detail-oriented project manager with strong writing skills and the ability to thrive in a fast-paced, deadline-driven environment.
The Manager reports to the Associate Vice President of Philanthropy, will work closely with the Chief Philanthropy Officer and Vice President of Philanthropy, and will collaborate with colleagues across the development department and the organization.
Essential Functions
Campaign Proposal Development and Gift Documentation
- Play a collaborative role in the writing and creation of clear, persuasive campaign proposals tailored to campaign donor priorities.
- Draft gift agreements and maintain accurate and current donor documentation in partnership with frontline fundraisers and finance.
Prospect Tracking and Donor Support
- Maintain up-to-date prospect and donor activity in the CRM system (Tessitura), tracking cultivation, solicitation, and stewardship steps.
- Prepare detailed donor briefings, profiles, and customized talking points for leadership and campaign volunteers.
Campaign Committee and Volunteer Engagement
- Support the Campaign Chair(s) and committee members by preparing agendas, meeting materials, and talking points.
- Schedule meetings, manage follow-up, and track volunteer assignments and progress.
- Capture and circulate meeting minutes, ensuring all action items are completed.
Campaign Milestones and Event Support
- Collaborate with Development, Marketing/Communications, and Events teams to produce campaign launch materials, donor recognition moments, and public-phase outreach tools.
- Assist with donor recognition plans and stewardship events tied to campaign milestones.
Collaboration & Reporting
- Maintain campaign timelines, calendars, and progress reports for internal and external audiences.
- Prepare regular reports tracking progress against campaign goals.
- Create and implement campaign stewardship reporting, including annual endowment financial reporting, in collaboration with the Director, Development Communications and Finance
- Collaborate with the Director, Development Communications and other Development leaders to ensure consistent campaign donor and prospect communications.
- Partner with leadership to prepare updates for the Board of Trustees, campaign committees, and key stakeholders.
Education/Experience
- Bachelor’s degree or equivalent with 3-5 years of development, campaign, or project management experience in a nonprofit setting; experience in public campaign phase a plus.
- Experience with donor database systems (Tessitura a plus) and Microsoft Office Suite.

Working Conditions/Physical Demands
- Routine for office Environment
- Must be available to work select nights/weekends for select performances and events.
- Administrative employees work from our Center City office Tuesdays, Wednesdays, and Thursdays, with the option to work remotely on most Mondays and Fridays
