The Position:

We are seeking a full-time Accounts Payable Specialist for our Finance department. This position reports directly to the controller and is primarily responsible for all accounts payable functions for the center.

What You’ll Do:

  • Process and verify invoices for payment, ensuring all expenses are accurately coded and approved in accordance with organizational policies for a multiple contract and grant organization.
  • Manage the full accounts payable cycle, including data entry, coding, reviewing, and approving invoices, expense reports, and vendor payments within Sage Intacct.
  • Code and obtain necessary supporting documentation for all company credit cards.
  • Reconcile accounts payable and accrual transactions to ensure accurate financial reporting.
  • Maintain vendor records, including W-9s, payment terms, and contact information, ensuring compliance with 1099 reporting requirements.
  • Communicate with vendors and internal departments to resolve discrepancies or issues related to invoices or payments.
  • Process checks and payments for vendors in a timely manner.
  • Support month-end and year-end closing processes by preparing necessary reports and reconciliations.
  • Ensure compliance with applicable financial regulations (GAAP, OBM, LA Auditor Controller) and internal controls, including adherence to the organization’s procurement policies.
  • Hours: Monday-Friday, 40 hours per week, 8:00am – 5:00pm
  • This position is onsite to start with a potential for hybrid after initial training period (approximately 3 months)
  • Starting Salary: $26.00 - $28.00 per hour (commensurate on experience).

 

Qualifications

  • Prior experience with Sage Intacct or other Accounting ERP cloud-based systems preferred.
  • Prior experience with Accounts Payable and invoice coding for multiple cost centers, contracts, and grants. Minimum 5 years AP experience highly preferred.
  • Must possess good communications skills, both oral and written
  • Must have a good sense of judgment as pertaining to the position.
  • Must be able to prioritize and plan work activities and use time effectively.
  • Must be detail-oriented, a self-starter and be able to work independently.
  • Must be able to complete projects and reports in a timely fashion.
  • Computer literacy including proficiency in Microsoft Office Applications such as Word and Excel.
  • Bachelor’s or Associate’s Degree in Accounting, Administration or a related field highly preferred. High School diploma or equivalent required.
