King County Metro's Finance & Administration Division is searching for two self-motivated individuals with good judgment, an eye for accuracy, and professional integrity to provide strong administrative support to assist the General Manager’s Office and Finance & Administration Division. The Administrator I positions will report to the Administrative Supervisor within the Administrative Services Section in the Finance & Administration Division.

  • Purchasing & Procurement Administrator: This position oversees purchasing and procurement including P-Card payments and reconciliation, invoice processing, Service Requests, and contract administration and management. This individual will work closely with a variety of individuals and teams to manage a high volume of community and vendor payments. The Administrator I will proactively manage their workload in a dynamic environment with minimal oversight while providing excellent customer service. This Special Duty Assignment/Term Limited Temporary role is expected to last until 8/15/2026 with the possibility of extension.
  • Strategic Communications & Engagement Sections Administrator: This position supports the “Partnerships & Engagement” and “Communications & Marketing” Sections within the Chief of Staff Office. These teams work collaboratively with internal and external stakeholders to ensure our decisions serve the community and achieve safe, equitable, and sustainable outcomes. The Administrator I will provide complex and critical administrative support to the two section managers and their teams, including scheduling, meeting support, preparing communications, and tracking project deadlines. This Special Duty Assignment/Term Limited Temporary role is expected to last until 3/1/2026 with the possibility of extension.

Position Info: This recruitment will be used to fill two (2) Special Duty Assignment/Term Limited Temporary vacancies. This recruitment may be used to generate a list for future Special Duty Assignment (SDA), Term Limited Temporary (TLT), and Career Service (CS) positions that may occur in this classification (Administrator I) and workgroup. The eligibility pool list is valid for up to 12 months from the time of posting for use at the discretion of the hiring authority.


Position Duties

Applying equity and social justice principles is a daily responsibility and foundational expectation for all King County employees. In the Administrator I role, you will apply equity and social justice principles that exemplify shared values, behaviors, and practices to all aspects of this work. The successful candidate will be skilled at working with a wide variety of internal and external customers, as well as passionate about representing the voices and interests of employees and the community. 

As the Administrator I in either of the two opportunities outlined above you will:

  • Prepare, review, and track forms required for personnel transactions, requisition forms, purchase orders, partner agency agreements and reports, and/or expense reports on behalf and in support of the manager(s) or workgroup.
  • Track project deadlines; coordinate with internal and external customers; and research and assemble related documentation to ensure administrative duties are completed in a consistent and timely manner.
  • Monitor processes and develop improvements to streamline administrative operations.
  • Serve as a subject matter expert in a variety of administrative tasks and provide guidance and training on such duties.
  • Be the delegated authority to independently handle many daily complex and critical administrative support duties for and on behalf of the manager(s) or workgroup.
  • Maintain confidentiality by utilizing policies and procedures, while earning the trust and respect of co-workers through honesty, integrity, and professionalism in all interactions.
  • Use independent judgment to screen telephone calls, emails, and meeting requests to provide exceptional customer service.
  • Serve as a liaison between the manager(s) and internal and external groups or individuals
  • Develop, implement, and ensure maintenance of processes to support various administrative programs or projects such as invoices, interagency agreements, correspondence, signature routing, records retention, training plans, etc.
  • Maintain the managers' calendars, provide context for appointments when necessary, and assist in tracking appointments as needed.
  • Perform other special projects and related duties as assigned.

Minimum Qualifications

We are looking for candidates who have: 

  • A minimum of 2 years of experience performing administrative support work and functions in a fast-paced and high-volume professional setting, OR a combination of education, training, and/or professional experience which provides the equivalent background required to effectively perform the work of this position.
  • Demonstrated ability to work independently and make sound decisions using judgment, tact, and diplomacy.
  • Strong customer service orientation with the ability to work effectively with diverse groups and individuals in person, via telephone, and over e-mail – all while maintaining confidentiality and strong working relationships.
  • A commitment to fostering collaboration and strengthening coordination within the team.
  • Ability to proactively manage a high volume of varied assignments and competing priorities in a dynamic, sometimes ambiguous environment while maintaining accuracy and attention to detail.
  • Clear and effective communication, both verbally and in writing.
  • Ability to proactively assess current work processes and recommend/implement improvements.
  • Experience in training others on work processes and providing tools and guidance to ensure success for the team as a whole.
  • Expertise in leveraging technology tools, including intermediate-level skills in Microsoft Excel, Outlook, PowerPoint, Visio, Word, Adobe, DocuSign, Teams, and SharePoint.

Highly competitive candidates will have (desired, but not required):

  • Knowledge of Metro Transit policies & procedures.
  • Knowledge of Oracle or other similar financial software.
  • Experience with purchasing, procurement and contract and vendor management.
  • Experienced in providing senior level administrative support to managers.
  • Experience managing projects from planning to completion, including organizing tasks, tracking deadlines, and coordinating with cross-functional teams.

Work Location: This is a hybrid position. The main work site for this position is King Street Center, 201 S Jackson St., Seattle, WA 98104.

The work associated with this position is currently performed or conducted through a combination of teleworking, onsite work, and meetings. The role combines remote work from home with onsite reporting typically once per week. Reporting frequency may vary based on business needs. 

Employees will have access to shared workspaces at various King County facilities. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements. 
 
Work Schedule: This position is non-exempt from the provisions of the Fair Labor Standards Act and is overtime eligible. The typical workweek is 40 hours per week, Monday – Friday.
