THE POSITION

The Personal Assistant of the Chief Football Officer provides high-level organisational, administrative, and logistical support to the Chief Football Officer, ensuring the efficient functioning of the office and smooth coordination across the division. 

These are your key tasks:

  • Provide comprehensive day-to-day support to the Chief Football Officer, including diary, travel, and expense management.
  • Coordinate and follow up on tasks, requests, and deadlines to ensure efficient workflows and timely decision-making.
  • Maintain sound administrative procedures with accuracy and attention to detail. 
  • Organise and oversee logistics for internal and external meetings, including room bookings, agendas, materials, and minutes. 
  • Plan and coordinate complex travel schedules, event logistics, and on-site assistance during tournaments and international events. 
  • Support protocol arrangements and event management as required. 
  • Draft, review, and manage correspondence, reports, presentations, and official communications. 
  • Manage the flow of information internally and externally to ensure accuracy, confidentiality, and timeliness. 
  • Liaise effectively with internal departments, external partners, and key stakeholders, maintaining strong professional relationships. 
  • Provide administrative and operational support for division-wide projects and FIFA tournaments. 
  • Review and improve internal processes to enhance organisational efficiency and effectiveness. 
  • Support other departments with ad-hoc administrative tasks when required.

The specific competencies we require for this position are:
  • Minimum of 3–5 years of administrative experience.
  • Proven experience working directly with C-suite executives, with a clear understanding of executive-level dynamics and demands. 
  • Experience in an international sports organization, with strong stakeholder management skills. 
  • Experience in major international sporting events, with demonstrated knowledge of project structures, event planning, and event project management processes.
  • Experience in protocol matters and managing high-profile guests.
  • Experience in legal and finance-related administrative work.
  • University degree or specific higher education. 
  • Fluent in English and German.
  • Proficiency in any other language – in particular Spanish - is an asset.
  • Strong proficiency in MS Office (Word, Excel, Outlook, PowerPoint). 
  • Flexibility to travel.
  • Client-oriented mindset with an efficient, solution-driven approach. 
  • Strong analytical abilities, with the capacity to quickly understand new topics and propose tailored solutions.
  • Outstanding administrative and organisational skills, with meticulous attention to detail and high-quality standards. 
  • Football knowledge and sensitivity to the cultural and sporting context of the game. 
  • A positive and flexible attitude, able to support across administration, operations, and concept development. 
  • Proven ability to prioritise and manage a diverse workload independently, while remaining proactive, reliable, and punctual. 
  • Excellent communication and interpersonal skills; diplomatic, collaborative, and professional in all interactions. 
  • Resilient under pressure, with the ability to maintain composure in high-demand situations.
  • Willingness and flexibility to work irregular hours and travel when required. 
  • High integrity, discretion, and trustworthiness, with a strong sense of responsibility. 
  • Political and multicultural sensitivity, able to represent FIFA with professionalism and respect.
  • Friendly, approachable, and a true team player.
