Essential Functions:
This role plays a critical role in supporting the daily operations of the engineering team. This position manages incoming requests, organizes project data, facilitates communication between engineers and other departments, and ensures smooth coordination of documentation, purchasing, and project tracking. The role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced engineering environment and projects.
This person will create and manage technical documentation to directly assist the service department and our customers. While doing this they will also work with multiple departments in the organization providing remote support, technical troubleshooting, and consultation to complete tasks / assignments.
Requirements
Job Duties may include but are not limited to:
Engineering Request & Project Coordination
- Monitor engineering request outlook folders; enter requests into Wrike project management system.
- Manage the engineering request dashboard and maintain accurate status updates.
- Load new projects and tasks into Wrike, ensuring data accuracy.
- Create and manage project numbers in SolidWorks EPDM and set up corresponding project folders in SharePoint.
- Enter project numbers into Prelude ERP system.
Meeting & Communication Support
- Participate in triage meetings; take detailed notes and distribute meeting minutes.
- Follow up with engineers to collect project updates before and after meetings.
- Support departmental communication by preparing memos and documentation.
Purchasing Support
- Collaborate with the Purchasing team to facilitate part ordering and track shortages.
- Prepare shortage lists and monitor part status to ensure timely delivery.
- Attend purchasing meetings to coordinate engineering needs with procurement.
- Assist with assembling and managing drawing file packages for projects.
Administrative Support
- Assist engineers with Prelude ERP data entry for work orders and project closure activities.
- Support engineers with administrative tasks, including document preparation and data management.
Requirements:
Education
- Associate’s degree or higher in Business Administration, Engineering Technology, Project Management, or related field.
- Equivalent work experience may be considered in lieu of formal education.
Experience
- Four plus years of experience in an administrative, project coordination, or engineering support role.
- Prior experience working in a technical or engineering environment preferred.
- Familiarity with project management tools (Wrike, Asana, or similar) and ERP/MRP systems (Prelude or equivalent) is a strong plus.
Skills & Competencies
- Excellent organizational and time-management skills; able to manage multiple projects simultaneously.
- Strong communication skills, both written and verbal, with the ability to interact effectively across departments.
- Proficiency in Microsoft Office (Word, Excel, Outlook, SharePoint).
- Attention to detail and accuracy in data entry and documentation.
- Ability to take initiative, follow through on tasks, and problem-solve independently.
- Familiarity with engineering terminology, project lifecycles, and document management systems is an asset.
