External Salary Range: $45,146.92 - $51,175.17 (Steps 1-4)

The internal salary range is used for applicants who are current NJ state employees with underlying classified status for promotional calculations who meet the requirements below. 

The external salary range is used for candidates who are not NJ state employees who meet the requirements below. 

Position Summary:

The Program Assistant for Communication & Engagement position resides in the School of Business, and reports to the Assistant Dean. The School of Business enrolls over 1600 students, with 43 full-time faculty and a over 30 professionally-qualified adjuncts across our five academic departments.

The Program Assistant for Communications and Engagement will manage the School of Business communications and social media accounts and provide supplemental support for academic departments, course scheduling, and enrollment.

Examples of work include: coordination of annual events such as the Women's Leadership Summit, support of undergraduate marketing and retention efforts, social media account management and writing/managing the long-running weekly newsletter "This Week's Business." The program assistant may also support faculty searches and/or gather data for decision-making by the chairperson or the dean’s office.

Main Responsibilities:

·       Social media, communication, and engagement duties:

o    Advance the mission and reputation of the business school through managing all social media accounts and monitoring analytics; serve as editor for weekly student and seasonal alumni e-newsletters; and plan external and internal communications.

o    Support undergraduate and graduate marketing and retention efforts through communication channels. Support school-wide events such as the Mayo Business Plan Competition and Women's Leadership Summit

·       Academic department support:

o    Provide support services to department chairs and faculty (full-time & adjunct); assist students in locating resources; maintain confidential records.

o    Support departmental meetings and events.

o    Support course scheduling and new student enrollment.

o    Provide organizational support for faculty searches, arrange virtual and campus interviews, and prepare relevant documents as needed.

o    Prepare adjunct contracts and maintain adjunct records.

o    Orient new faculty to office and technology resources.

o    Prepare textbook requisitions, communicating with vendors and faculty as needed.

·       Campus relations:

o    Establishes liaison and maintains cooperative working relationships with other staff or areas whose functions impact assigned responsibilities, such as the Office of College Marketing and Brand Management, Records & Registration, Admissions, etc.

·       Office assistance:

 

o    Assign and monitor student workers and graduate assistant tasks, ensuring compliance with college procedures.

o    Provide primary and backup support services to the Dean’s Office as needed, including graduation and other special events.

o    Consult with the supervisor to discuss progress and continuous process improvement.

o    Gather and monitor data on projects and for annual reporting.

o    

·       Works Independently:

 

o    This role is supervised by the Assistant Dean, with next-level supervision by assigned department chairs. In between short, guiding discussions, it is expected that this staff member will work independently to complete assigned responsibilities

o    Periodic supervision of student workers/graduate assistants

·       Required Qualifications:  

o    Proficiency with social media platforms and social media management tools, Microsoft Office, and Google suites.

o    Strong interpersonal and communication skills, both written and verbal.

o    Ability to maintain confidentiality and discretion in professional environment.

·       Education and/or Experience: -

o    Bachelor’s Degree preferred; Associate’s degree and/or equivalent years of related experience considered.

o    3+ years of experience in using social media management tools and analytics platforms, with proof of previous work.

o    Experience working in higher education a plus.
