Responsibilities

Stamford Health has an opening for a full-time Staff Assistant in our Women's Specialty Center in Stamford. The Staff Assistant will work Monday-Friday 9am-5pm. The Staff Assistant will address all front desk operations including registration, scheduling appointments for patients, patient check in / check out, answering phones, taking and relaying messages. Coordinates all aspects of the front desk to ensure patients receive quality care. Has the ability to interact and prioritize with patients, staff and clinical personnel to work efficiently in a hectic environment.

MAJOR ACCOUNTABILITIES / CRITICAL RESPONSIBILITIES:

  • Answers the phone promptly and tries to assist the caller; if it is an emergency, contacts the appropriate medical personnel for assistance. Takes clear and concise messages. Returns voice messages in a timely manner. Provides callers and visitors with information about the office hours, services provided, and costs (if applicable). 
  • Prepares various documents and handles confidential matters in accordance with rules, policies and procedures. Respects and protects the patient’s rights to confidentiality and privacy and discloses information only for the professional purposes which are in the patient’s best interests with full consideration of their legal rights. Displays a positive attitude when interacting with physician’s office staff, physicians and fellow employees of the office.
  • Ensures that all patients / visitors are acknowledged upon entering. Greeting everyone in a friendly and welcoming manner.
  • Enters patient demographic and insurance information. Registers / pre-registers patients on system.
  • Preparation of the following days patient charts by assuring that all labs / test results or other consults are signed and, in the patient's, medical record. Maintains charts, file laboratory and ancillary reports when necessary. Ensures that information can always be easily located and retrieved. Maintains accurate records. Assists with medical records requests and form completion.
  • Calls patients to reschedule cancelled / no show within 24 hours of appointment. Schedules initial and follow up appointments utilizing the computerized scheduling system. Calls patients who do not show for scheduled appointments. Confirms patient appointments. 
  • Sends faxes and delivers faxes to appropriate individual promptly. 
  • Notifies patient of co-payment, collects / accepts co-payments issuing legible receipts for patient and the billing practice.
  • Schedules and Precertifies diagnostic tests.
  • Maintains waiting room and office area, keeping space neat and free from clutter.
  • Participates in and supports performance improvement and risk management activities.
  • Maintains inventory of forms in the front office area and physician offices. Notifies Office Coordinator of supplies to be ordered.
  • Brings patients into exam rooms when needed.

Qualifications

  • High School diploma is required.
  • Must exhibit a high degree of responsibility in confidential matters. 
  • Knowledge of office record keeping and workflow processing is required.
  • Ability to balance multiple priorities is required.
  • Effective communication skills, both verbal and written English proficiency required
  • Excellent organization, problem solving, and listening skills are required.  Knowledge of medical terminology is preferred.
  • Strong interpersonal skills are required.  
  • Proficient in Microsoft Word, Excel, Outlook and EMR system
