Job Description:

The Sales Administration Specialist plays a critical role in supporting commercial activities across both North and Latin America. This position ensures smooth daily operations by managing sales administration, coordinating logistics, and supporting both retail and internal teams. Acting as a key liaison between APNA/APLA Logistics and Marketing, the Sales Administration Specialist ensures accuracy, efficiency, and compliance in the movement of sellable and non-sellable high-value items.

Commercial (Latin America):

  • Daily process and manage sales orders, invoices, and credit notes for new watches, ensuring timely follow-up with the relevant departments.
  • Conduct bi-weekly administrative follow-ups on Accounts Receivable (A/R) with APNA finance team.
  • Generate and distribute bi-weekly/monthly reports to top management/retailers including but not limited to sales, retailer inventory updates, newsletter, delays and logistics issues tracking.
  • Work in collaboration with APLB Shipping Department to ensure on-time watches delivery to the retailers in the region.

Commercial (North America):

  • Weekly allocations for watches for all internal, JV’s and External
  • Daily process and manage sales orders, invoices, and credit notes for new watches, ensuring timely follow-up with the relevant departments.  
  • Email invoices/credit notes to relevant accounts
  • Create loans for sellable watches as needed for events
  • Add blue reference pieces to daily shipments after the approval call, make sure the notes with the specific names are sent to the boutiques with the pickings
  • Work in collaboration with Finance to make sure all invoices are posted

Marketing Trays:

  • Process the transfers between boutiques of the tray as needed by marketing
  • Processes Press / PR and events consignments and return of the pieces within deadlines
  • Ensure that all movement of all non-sellable valuable goods follow internal controls
  • Prepare the consignment document for APLA to create the carnet
  • Responsible for coordinating Carnets kits and assisting of non-sellable stock

Wear Watches & Essentials:

  • Process wear watch consignments to eligible employees and ensure proper documentation respects internal controls.
  • Ensures all related transactions for goods returning from consignment
  • Ensures quality check of goods is completed and documented upon return
  • Coordinates repair when necessary and maintains a record of goods in repair
  • Process the transactions for Essential/Display watches including inventory respecting internal controls

Marketing Materials:

  • Enter orders as requested from CRM for internal boutiques and internal depts.
  • Visual Merchandising orders
  • Invoice JV/EXT gifts
  • Make sure that the merchandise that ships directly gets received and invoice accordingly.
  • Gift Inventory Management (stock exit, stock entry).
Qualifications:
  • Bachelor’s degree required; concentration in Logistics or Business preferred.
  • Minimum 3 years’ experience in sales administration, operations, or customer service (luxury goods experience preferred).
  • Strong organizational, analytical, and communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Adobe Acrobat).
  • Knowledge of operational procedures and internal controls.
  • Ability to manage multiple priorities effectively in a fast-paced environment.
  • Adaptable, flexible, and solutions-oriented with a positive attitude under pressure.
  • Bilingual in English and Spanish required.
Additional Information:

Audemars Piguet offers a competitive and comprehensive compensation and benefits package. The salary range for this position is $70k - $80k annually. This role is eligible for bonus. Salary will be based on relevant skills and experience.
