Position Summary
The Production Administrator is responsible for providing comprehensive administrative support to the production department. This includes managing time and attendance records, coordinating with supervisors, monitoring inventory and ordering consumables, generating production reports, and assisting with various administrative tasks. The ideal candidate will be organized, detail-oriented, and capable of managing multiple tasks in a dynamic production environment.
On Site - 40hrs/week 6AM-4:30PM Monday - Thursday.
What You Will Do
- Lives and role models the company values and culture at all times.
- Develop and maintain production reports for performance tracking, efficiency, and other key metrics
- Compile and distribute daily, weekly, and monthly reports to management
- Track and document production efficiencies and variances
- Track work orders and production timelines
- Distribute daily exception and attendance reports to supervisors for reporting, coordinate and follow up with production supervisors/leads to ensure accurate time and attendance for payroll and reporting
- Monitor and maintain employee time and attendance records, identify and resolve discrepancies in timekeeping records through time card edits
- Monitor inventory levels of production consumables, order and replenish supplies.
- Maintain accurate records of inventory usage
- Provide general administrative support to the production team and supervisors
- Maintain accurate and organized production records and files
- Support coordination of meetings, schedules, and communications for the department
- Coordinate and route necessary paperwork through Human Resources and Operations departments
- Ensure timely submission and processing of forms, reports, and compliance documents
- Utilize spreadsheets to track, analyze, and present production-related data
- Maintain and update various databases and tools used for monitoring production performance
- Perform other related administrative tasks as required to support the production team
- Responsible to ensure all controls (ICFR Internal Controls) identified under their area of responsibility are designed
What You Need to be Successful
- 2+ years of administrative or production support experience preferred
- Fluent in English and Spanish (verbal and written) is a requirement
- Proficiency in Microsoft Office Suite, especially Excel (formulas, data entry, reporting)
- Strong organizational, communication, and time-management skills
- Self-starter with the ability to work independently and collaboratively in a team-oriented environment
- Attention to detail and problem-solving skills
