Position Description
Working directly with technical staff and firm leadership, you will manage the full lifecycle of proposals, presentations, and marketing collateral—from initial strategy and content development to final production and submittal. The ability to manage multiple priorities, maintain accuracy and consistency, and perform under tight deadlines is critical to success in this role.

Key Responsibilities

  • Partner with senior leadership to coordinate, develop, and produce high-quality marketing materials supporting business development.
  • Lead and manage the full proposal process—from strategy and kick-off through production, review, delivery, and close-out—ensuring accuracy, quality, and on-time submission.
  • Collaborate closely with technical teams and marketing leadership to craft compelling written and visual content that highlights firm strengths and aligns with client needs.
  • Review and refine marketing materials to ensure consistency with firm branding, graphic standards, and messaging guidelines.
  • Support broader marketing initiatives and activities that enhance the firm’s brand visibility.
  • Mentor and provide guidance to marketing coordinators and junior team members, fostering growth and sharing best practices.
  • Maintain and update marketing databases, proposal libraries, and firm-wide collateral to ensure materials are current, accurate, and easy to access.
  • Conduct market and industry research to inform marketing strategies and support business development opportunities.
  • Collaborate with leadership to continuously improve marketing processes, workflows, and tools for greater efficiency and impact.

Required Skills/Abilities

  • Understanding of the proposal process, including submission requirements, graphic layout, narrative, schedules, production, delivery, and interview preparation and presentation.
  • Strong writing and editing skills, with the ability to create clear, compelling narratives that effectively highlight design qualifications.
  • Experience developing graphics and marketing collateral for complex solicitations and strategic business needs.
  • Detail-oriented, and proactive, with proven ability to lead and mentor junior marketing staff.
  • Excellent time management and problem-solving skills, with the ability to manage multiple priorities and adapt to changing deadlines.
  • Strong interpersonal skills and ability to collaborate effectively.
  • Strategic thinker with a proactive approach to improving processes and supporting marketing initiatives.

Qualifications

  • Bachelor’s degree in marketing, communications, journalism, graphic design, or a related field.
  • 5 – 7 years of AEC industry marketing experience preferred.
  • Strong focus on proposals and graphics and business development support preferred.
  • Proven experience managing complex proposals and coordinating multiple stakeholders across technical and leadership teams.
  • Ability to lead marketing initiatives, mentor junior staff, and contribute to marketing strategy and process improvements.
