The Program Assistant provides administrative, operational, and programmatic support to a designated University department or academic program. This position plays a key role in ensuring the efficiency of program operations by assisting with communications, event coordination, record keeping, and student/faculty support. The Program Assistant serves as the first point of contact for program inquiries and contributes to the success of departmental initiatives.

Responsibilities

  • Manage program correspondence, phone calls, emails, and inquiries.
  • Maintain program calendars, schedules, and appointments.
  • Assist with the preparation of reports, presentations, and documents.
  • Process purchase orders, travel requests, and budget documentation as required.
  • Provide logistical support for program activities, meetings, workshops, and events.
  • Assist with program marketing, recruitment, and outreach efforts (flyers, social media, website updates).
  • Collect, organize, and maintain student and program data for assessment and reporting.
  • Support program staff and faculty with day-to-day operations and special projects.
  • Serve as a resource for students regarding program policies, requirements, and opportunities.
  • Support faculty with classroom scheduling, instructional materials, and administrative needs.
  • Assist with onboarding and communication for new program participants.
  • Maintain accurate program records, files, and databases.

 

Education

  • Associate’s degree in Business, Education, or a related field; Bachelor’s degree preferred.
  • Minimum of 1–2 years of administrative or program support experience, preferably in a higher education environment.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and basic database management.
  • Must be able to lift 10 pounds.
