Alera Group is looking for an Office Operations Coordinator to join our Tacoma, Washington office. We are seeking highly motivated colleagues who bring experience and enthusiasm to our team – joining us may be the perfect fit for you!

Vendor Management
Serve as primary point of contact for all vendors to ensure performance, adherence to contract terms, resolve payment issues, navigate service contract renewals, etc.
- Breakroom vendors & drinking water suppliers for Propel offices
- Document Shredding (Iron Mountain, ProShred, etc.)
- Plant Services for most offices (address issues, approve invoices, etc.)
- FedEx Management (manage & train users, address issues)
- Cintas (AED’s & CPR/AED/First Aid Training)
- Office Supplies Management (W.B. Mason, Amazon; approve invoices, etc.)
- Repair vendors for appliances & equipment
- Specialty Items (nameplates, notary stamps, binding supplies, etc.)
Parking Management for Seattle & Tacoma
- Manage monthly parkers, validation tracking & invoice approvals
- Manage users of validation systems
Property Management
Serve as primary point of contact with property management to distribute communication, resolve issues, have maintenance or repairs performed, etc.
- Manage any portal access platforms for reporting building issues
- Manage Floor Wardens, annual training, etc.
- Manage equipment repair and replacement at Propel (an Alera Group company) offices - large and small appliances
Office Operations Back-up
- Provides back-up to the Tacoma Receptionist for breaks, lunches, out of office.
- Provides back-up to the Mailroom and Indexing Lead
- Work to quickly resolve technology issues (Zoom rooms, card readers, etc...)
Administrative Assistant
- Provides administrative help to the Executive Assistant and other Department Managers/Directors as well as special ad-hoc projects.
High school diploma or equivalent required; some college or vocational training preferred.
Previous customer service experience required; reception experience a plus.
Proficient in Microsoft Office Suite, including Outlook, Word, and Excel.
Strong verbal and written communication, problem-solving, and critical thinking skills.
Friendly, enthusiastic, and professional demeanor with proven customer service abilities.
Highly organized with keen attention to detail.
Able to work independently and collaboratively in a team environment.
- Prior office management/ coordinating is preferred!
This job is expected to be performed on-site in our Tacoma, Washington office.

Compensation ranges from $60,000 to $70,000 annually (based on experience)
