Job Title: Accounting Specialist - Front Desk (Seneca Main Office)

SUMMARY
This position will be the first point of contact for our office and will handle the flow of people through the business. The Accounting Specialist will perform routine clerical, secretarial and administrative work in answering telephones, receiving the public, providing customer assistance, data processing, and record keeping.
ESSENTIAL DUTIES AND RESPONSIBILITIES
(Includes the following and other duties may be assigned)
Responsible for:
- Posting accounts receivable and paid on account tickets into computer.
- Assisting credit manager with regular maintenance of customer credit holds spreadsheets.
- Retrieving customer ACH payments from email and online sites and entering paid on accounts.
- Assisting customers at front counter and on the phone including making invoice and/or statement corrections, taking fuel orders and dispatching to fuel truck drivers by email/text/software.
- Assisting with cash control of cooperative by daily reconciliation of cash drawer reporting any discrepancies immediately, making bank deposit slips as needed, making system bank transfers, taking deposits to local bank, making remote deposits and verifying location deposits for accuracy.
- Maintaining and distributing intracompany mail from other locations.
- Providing excellent customer service by managing difficult or emotional situations; responding promptly to customer needs; resolving questions, complaints, and concerns immediately; and meeting commitments.
- Picking up company mail at Post Office daily; open and distribute mail.
- Maintaining company website messaging
- Updating customer portal information
- Assisting with company mailings
- Assisting with running monthly statements
- Keeping Certificate of Insurance file up to date for contractors
- Operating Microsoft Word, Excel and Outlook for reports and correspondence
- Daily housekeeping of work area
- Reporting to Controller any cost saving opportunities
- Securing facilities and equipment when closing.

- Adherence to cooperative credit policy.
- Works with other cooperative staff at other locations to ensure cooperative goals are met.
- Presenting a clean and professional appearance.
- Promptly and regularly report to work and work overtime hours as needed.

SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.

EDUCATION and/or EXPERIENCE
This position requires a high school diploma. Must be proficient in Microsoft Word, Excel, and Outlook. Must possess computer technology and 10-key calculator operation skills. Must be willing to seek out and attend additional continuing education, seminars, classes or other job-related education requirements or opportunities.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, volume, and weights.
REASONING ABILITY
The ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Able to deal with problems with several concrete variables in standard situations. Must be able to think quickly and perform a mental assessment of workplace hazards, take appropriate precautions, and choose appropriate personal protective equipment as dictated by need, regulation and labeling.
