Summary: Responsible for the overall direction, leadership and evaluation of the association management team for the Company.  Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.  Coordinates homeowner association management activities for the company’s managed properties and serves as a resource for the department.   Establishes and maintains the association management department as a reliable, professional organization within the community.

 

Essential Duties and Responsibilities include the following.  Other duties may be assigned.  

 

  • Speaks comfortably in a group setting, can facilitate an association or staff meeting with knowledge, professionalism and respectful authority.
  • Represents the company proactively to the external market through community relations, marketing activities and client relationships.
  • Maintains excellent relationships with clients, customers, and co-workers in a positive, credible and professional manner at all times.
  • Evaluates existing systems to evaluate effectiveness and impact on the client associations as it relates to growth and retention strategies.
  • Assists in creation of new business presentations as needed and negotiates management contracts with clients.
  • Coordinates communication and cooperation between the association management department and the maintenance and accounting departments.
  • Oversees company property management methods and trains association managers on matters such as professionalism, communication techniques, legal aspects, company policies and work productivity.
  • Ensures managers are well versed in all aspects of association management and with applicable laws that govern associations.
  • Motivates association managers to provide top-level service to our managed association clients.
  • Participates in interviewing, hiring, performance evaluations and terminations of departmental staff.
  • Monitors, tracks, and ensures renewal of association management agreements.
  • Ensures managers are well prepared to present data and facilitate homeowner association meetings, create action items lists from each, and ensure meeting minutes reflect actions.
  • Occasionally works with association board of directors to help set and implement high level association policy.
  • Is familiar with and communicates to boards and company management any appropriate association or statute rules that might impact the governance of a managed community association.
  • Professionally communicates verbally and in writing with association board members and in-house staff.
  • Coordinates property project progress with in-house maintenance team and oversees reporting of same to board members.
  • Ensures organized files are kept related to all homeowner association business.
  • Monitors and communicates progress on homeowner association projects.
  • Maintains a system to collect, organize and track homeowner association third party vendor contracts.
  • Updates and maintains online association records (Association/Owner Website) regarding, reports, minutes, declarations, articles of incorporation, by-laws, and rules and regulations.
  • Establishes programs to educate owners or buyers about the declarations, articles of incorporation, by-laws, and rules and regulations of their particular property.
  • Performs site visit inspections of managed properties.
  • Participates in professional organizations like CAI to stay current and knowledgeable. Consolidates information learned at these events/seminars and presents it to Association Managers, and other staff as appropriate.
  • Demonstrates ability to be professionally flexible and multi-task.
  • Understands the specific details of the various services offered by the company as well as expectations of managed properties.
  • Is responsible for achieving departmental financial expectations.
  • Assists with related special projects as directed.
  • Maintain availability throughout each working day to perform duties.  Departmental office hours are from 8:00 am – 5:00 pm daily.        Occasional Saturday and evening work is required dependent upon Homeowner Association meeting schedule.

                                            

 

Qualifications:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education/Experience:

A bachelor’s degree or equivalent from a college or technical school, three or more years of related association management experience, and a CMCA or superior community association management license is preferred.

Language Ability:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write reports and correspondence.  Excellent grammar, proofreading and punctuation is required. Ability to speak effectively before groups of customers or employees of organization.

Math Ability:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.  Ability to apply concepts of basic algebra and geometry.

Reasoning Ability: 

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills: 

To perform this job successfully, an individual should demonstrate supreme knowledge in Microsoft Word, Excel and Outlook along with various property management software systems.

Transportation: 

The position’s occupant must maintain a valid driver’s license with good driving record. In addition, the use of personal vehicles is required to facilitate work. A reliable vehicle with personal liability insurance is required. The employee is occasionally required to drive and must be able handle driving in adverse weather conditions. Compensation for use of personal vehicles will be provided per the current Resort Group Policies (consult handbook). 

Certificates and Licenses: 

No certifications needed but a CMCA or other professional certification is preferred.

Supervisory Responsibilities: 

This job has direct supervisory responsibilities and works with several levels of company staff ranging from department heads to line staff.
