Responsibilities
The Admissions Assistant role is comprised of three major areas: Administrative Support, Information Management, and Event Coordination.
Administrative Support
- Answers admissions department phones, emails, and greats in-person visitors
- Organizes information and sends requests, updates, and messages to appropriate personnel and follows up in a timely manner
- Creates reports, metrics, mailings, lists, etc.
- Competency with Outlook, Excel, Word, PowerPoint, and MS Windows
- Managing incoming student paperwork – Send out records request, collect required documents (i.e. birth certificates, IDs, medical information, etc.)
- Other tasks as assigned by supervisor
Information Management
- Public facing – interacts with prospective students, parents, and other school professionals in regards to specific Thrive Academy admissions requirements
- Document support – collects and maintains accurate records for each applicant using both electronic and hard copy information
- Database management – required to use and maintain job related information in school database (PowerSchool)
- Supports the Admissions Director by generating reports based on specific applicant data
- Provides information such as addresses, labels, specific subject lists, etc. to various departments as approved by the supervisor
- Other tasks as assigned by supervisor
Event Coordination
The Admissions Assistant helps coordinate the details of the following events. The preparation for these events is done during business hours; however, attendance is expected to assist the Admissions Director, teachers, staff, and volunteers.
- New Student Orientation/Registration
- Open House
- School and Residential Tours
- Family Interviews
- Admissions Selection Process
- Welcome Events
Qualifications
- High School Diploma or GED
- Previous experience in school setting preferred
- Clerical work experience
- Ability to create, implement and manage special events
- Effective communicator with staff, students and parents
- Well organized, particularly with policies and required documentation
- Effective time management
