- Coordinate IT department invoicing processes across REIT and Studio operations, ensuring accurate coding, documentation, and timely approvals.
- Track and process IT Studio Billing, collaborating with Accounting and operational teams to ensure accurate and timely client chargebacks.
- Serve as point of contact for the IT Department, fielding requests, maintaining filing systems and developing administrative process improvements.
- Maintain centralized records of IT vendor agreements and contracts for all business units, tracking renewals, amendments, and compliance obligations.
- Coordinate contract review processes with Legal, Finance, and other stakeholders, ensuring proper routing and documentation.
- Monitor key contract milestones and initiate timely renewal or termination actions.
- Provide project coordination assistance with special projects and other duties as directed by the VP, IT Operations, in collaboration with the VP, IT for additional guidance as needed.
- Serve as a central point of contact for internal teams and vendors for project-related communication.
- Serve as an administrator for tasks within the department, including recording meeting minutes, and scheduling events.
- Organize and maintain IT documentation, including asset inventories, license records, and standard operating procedures.
- Support departmental scheduling, including cross-team meetings, planning sessions, and events across REIT and Studio teams.
What You'll Need
- Bachelor’s Degree preferred; equivalent experience considered.
- Minimum 3-5 years working in a similar role and demonstrated project coordination skills and administration abilities.
- Strong understanding of invoicing, billing, and contract processes in a multi-business-unit environment.
- Advanced proficiency with Microsoft Office Suite; familiarity with project management or financial tracking tools is a plus.
- Excellent communication skills and the ability to work effectively with stakeholders at all levels.
- Highly organized, detail-focused, and capable of managing multiple priorities with shifting deadlines.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
- Self-motivated, resourceful, and comfortable working independently while supporting a large, distributed team.
Salary Range: $25.00 to $31.00 an hour USD (subject to relevant experience)
