CONTRACT & RFP SPECIALIST- Hybrid
SUMMARY
The Contract & RFP Specialist will provide contract management support in order to meet/exceed business objectives, ensure compliance and mitigate risk. In this role you will draft and review contractual agreements between LINET Americas and its customers, as well as support the pre-sales process by designing and preparing all customer RFIs & RFPs . The Contract & RFP Specialist will analyze risks, assess performance and establish processes which enhance and streamline contract and bid performance, documentation and workflows.
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, those listed below:
CONTRACT COORDINATION
- Manage entire contract lifecycle of commercial agreements, from drafting to execution and renewal.
- Draft and maintain all commercial contracts, including but not limited to special pricing agreements, service agreements, national contracts, vendor agreements, Rental/Lease agreements, etc. Review with legal and regulatory as needed.
- Streamline and maintain company contract management systems. Ensure all inclusions remain current, complete and accurate.
- Conduct routine audits for contract compliance verification.
- Deliver and report on all contractual, financial and legal obligations per internal and external contracts. Keep management updated on changes to current and future contractual opportunities and obligations.
- Drive continuous improvement on all related processes to ensure standardization and simplification.
- Data management: Manage and implement global and contract price lists, as well as active item number lists within the company ERP system. Upload and publish updates as needed.
- Administer and approve customer contract price activations for national agreements.
- Other projects and duties as assigned.
RFP & PROPOSAL MANAGEMENT
- Oversee and manage Request for Information (RFI), Request for Quote (RFQ) and Request for Proposal (RFP) design, development and creation.
- Design and develop RFx content databases. Regularly maintain and update as needed to ensure all is current and accurate.
- Maintain accuracy of company customer reference database by verification according to Sales input.
- Review RFx requests and analyze to identify key topics/inclusions needed. Link to brand messaging and corporate value propositions.
- Time and project management for all RFxs – coordinate, schedule, and meet key deadlines.
- Be a product expert for LINET products and services and articulate the value of our offerings in all required proposal formats.
- Organize and lead strategic review discussions with cross functional stakeholders including Sales, Service, Operations, Marketing and Management.
- Participation in special projects and support training of internal functional groups.
- Other projects and duties as assigned.
SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.

EDUCATION and/or EXPERIENCE
- Bachelor’s degree in business administration, business law, economics, contract management, technical writing/communications or equivalent field with 1-2 years’ prior experience in contract/proposal management, preferred – OR – Associate’s degree with 2+ years of experience in contract/proposal management.
- Broad knowledge of the healthcare industry and/or medical capital equipment procurement processes preferred.
- In-depth knowledge of procurement regulations, contract documents, and legal specifications a plus.
- Excellent oral and written communication skills.
- Advanced proficiency with full suite Microsoft Office 365, Salesforce, and Adobe Creative Cloud required. Familiarity with contract lifecycle management software and tools preferred. Experience with SAP a plus.

The work environment is located at the North American Headquarters in Charlotte, NC.
