Job Summary:

The Accounting Administrative Assistant plays a key role in supporting the Accounting Department by performing a wide range of administrative, clerical, and accounting-related duties. This position works independently to complete assignments and assists in ensuring the accuracy and efficiency of daily financial operations.

Key Responsibilities:

Administrative Support

  • Handle supply orders and general administrative duties.
  • Prepare and manage outgoing mail, including metering, sorting by property, and overnight packages (UPS/FedEx).
  • Scan and distribute incoming mail to the appropriate accounting team members.
  • Maintain and update the financial distribution list and property tracking logs.

Accounting & Financial Support

  • Process check requests and payments as directed.
  • Serve as backup for scanning deposits into property bank accounts.
  • Assist with preparation of utility tracking spreadsheets.
  • Support the accounting team in fulfilling audit documentation requests.
  • Address and follow up on vendor inquiries when requested.

Month-End Close Support

  • Prepare month-end cover sheets for each property.
  • Compile and distribute financial packages to ownership groups by set deadlines.
  • Upload finalized financial statements to Livewire for ownership access.
  • Respond to property operations requests during month-end processing.
  • Run and save variance reports per team instructions.

Draw Requests & Reporting

  • Coordinate and prepare lender draw requests and maintain accurate accounting snapshots.

Cross-Functional Support

  • Learn and assist with duties of the Accounts Payable Clerk and Vendor Specialist, serving as backup when needed.
  • Assist with trusted vendor setup via RealPage Vendor Credentialing software.
  • Ensure the end-to-end vendor credentialing process is completed accurately and efficiently.
  • Oversee Spend Management software, providing training and support to site and corporate teams, ensuring optimal use and cost control.

General Team Support

  • Provide ongoing support to the Accounting Department as needed.

Qualifications:

  • Proficiency in Microsoft Office, especially Outlook and Word.
  • Working knowledge of Excel; advanced skills a plus.
  • Strong organizational and time management skills.
  • Detail-oriented with the ability to multitask and prioritize effectively.
  • Excellent verbal and written communication skills.
  • Ability to work independently with minimal supervision.
  • Strong problem-solving and analytical abilities.
  • Dependable and proactive with a strong sense of responsibility.
