The Inventory Distribution Specialist reports to the Director of Food Strategy and Sourcing, ensuring that the flow of food and other necessary grocery items arrive efficiently and effectively at agencies across the valley in time to serve our neighbors in need
Reporting to the Director of Food Strategy and Sourcing, the Inventory Distribution Specialist plays a key role in ensuring the efficient, equitable, and compliant distribution of food and grocery items to agencies throughout Southern Nevada. This position is responsible for managing food orders, creating and maintaining accurate item cards, collaborating with the Three Square Partner Services department, and closely monitoring inventory to ensure products flow seamlessly through the system and is distributed according to all requirements.
Essential Job Functions
- Create and maintain accurate item cards for all incoming products, ensuring critical details such as expiration dates, case counts, and best-by dates are captured to support accurate inventory management.
- Allocate food and grocery products to agency partners using Ceres inventory management software, ensuring compliance with all Three Square, Feeding America Network, and grant funding policies and procedures.
- Work collaboratively with the Partner Services Department to ensure the most up-to-date distribution partner information is available and followed in the allocation process to best serve each partner and their neighbors.
- Monitor inventory levels, with a focus on TEFAP (The Emergency Food Assistance Program) distribution requirements and expiration dates, to minimize waste and ensure timely product movement.
- Ensure products are distributed equitably and that daily workloads are complete and on schedule.
- Proactively communicate inventory or order-related issues to management and other departments as needed.
- Generate and analyze inventory reports, investigating discrepancies and taking corrective action as needed.
- Utilize Microsoft Office applications, especially Excel, in conjunction with Ceres to support allocation and reporting tasks.
- Respond promptly to emails and order requests.
- Monitor inventory for product recalls and execute necessary actions as needed.
- Provide excellent customer service to internal and external stakeholders.
- Collaborate with internal teams to maximize donation opportunities and participate in strategic meetings.
- Participate in educational opportunities and provide cross-training to colleagues.
- Focus on housekeeping, documentation, sanitation, and food safety processes ensuring the success of Three Square through various inspections by AIB, USDA, SNHD, Feeding America, and other agencies.
- Manage confidential information with discretion.
- Perform other duties as assigned.

- Food safety knowledge is a plus.
Qualifications
- High school diploma or GED required.
- Three to five years of experience in project management, planning/scheduling, or product sourcing.
- Inventory control experience is a plus.
- Must pass a criminal background check and drug/alcohol screening
Working Environment
- This position is primarily office-based, with frequent visits to the warehouse required to verify product details, confirm inventory counts, and support operational needs.
- Must be able to sit for extended periods while performing computer-based tasks.
- Regularly required to stand, walk, bend, and reach.
- Must be able to lift and move up to 50 pounds as part of routine duties.
- Work may occasionally require exposure to varying warehouse temperatures and conditions.
- Personal protective equipment may be required when working in warehouses or storage areas.
- Occasional work outside of regular business hours, including evenings or weekends, may be necessary to meet operational needs.
