What You’ll Do: Key Duties & Responsibilities

  • Serve as the primary point of contact between customers and the service department
  • Greet customers, listen to their concerns, and accurately document equipment issues or service requests
  • Open, manage, and close work orders in a timely and accurate manner
  • Communicate repair timelines, cost estimates, and service recommendations clearly and professionally
  • Coordinate scheduling of service technicians based on workload, priority, and customer needs
  • Review completed work orders for accuracy and ensure all customer concerns have been addressed
  • Maintain regular communication with customers regarding repair status and follow-up as needed
  • Collaborate with parts and sales departments to ensure efficient service workflow
  • Ensure all required documentation, warranties, and maintenance records are properly completed and filed
  • Handle warranty claims and coordinate with manufacturers as necessary
  • Support service logistics, including coordinating transportation, equipment washing, and preparation for delivery or service
  • Promote additional services or maintenance based on equipment condition and service history
  • Inspect and document equipment condition and any shortages at the time of delivery
  • Maintain a clean and organized service counter and workspace
  • Uphold high standards of customer service and professionalism in all interactions
  • Adhere to all company safety policies and actively participate in scheduled safety meetings
  • Assist with other duties as required to ensure smooth and efficient department operations

  


Requirements

 What We’re Looking For: Qualifications & Skills

  • High school diploma or GED required; additional technical or vocational  raining is a plus
  • 1–3 years of previous experience in a service writer, service advisor, or customer service role preferred
  • Knowledge of agriculture, construction, or heavy equipment is strongly preferred
  • Strong verbal and written communication skills
  • Excellent customer service and interpersonal skills
  • Ability to prioritize and manage multiple tasks in a fast-paced environment
  • Detail-oriented with strong organizational and documentation skills
  • Proficient in Microsoft Office (Word, Excel, Outlook); experience with dealership or service management software (such as HBS, CDK, or similar) is a plus
  • Experience with basic accounting tasks such as invoicing, billing, or work order reconciliation
  • Basic understanding of equipment maintenance, repair processes, and parts terminology
  • Ability to work both independently and as part of a team
  • Strong problem-solving and conflict-resolution skills
  • Professional demeanor and ability to maintain confidentiality
  • Willingness to learn and adapt to new systems, technologies, and procedures

Physical Requirements

  • Ability to sit or stand for extended periods throughout the workday
  • Frequent use of hands and fingers to operate computers, phones, and office equipment
  • Regularly lift/move up to 10 lbs.; frequently up to 25 lbs.; occasionally up to 50 lbs.
  • Occasional bending, reaching, lifting, twisting, and climbing stairs
  • Visual acuity to read documents, computer screens and inspect equipment details
  • Comfortable working in both office and shop environments, which may include exposure to noise, dust, and varying temperatures

Preferred Qualifications

  • Knowledge of agriculture, construction, heavy equipment, or lawn & garden equipment is strongly preferred
  • Valid Class E driver’s license or better
  • Experience with forklifts and power washers

Additional Requirements
